JOB OVERVIEW

About the Role
We are a fast-growing Australian-based accounting and financial services group seeking a capable Finance & Office Manager to manage internal finance and office operations across our group of businesses.

Our group operates across multiple divisions including bookkeeping, tax, finance broking, real estate, and global talent services. As the business continues to grow, we are looking for someone who can take ownership of iinternal operational matters, ensuring that the firm runs efficiently behind the scenes.

This role will manage the firm’s internal finance, office administration, compliance coordination, and practice management processes, allowing the leadership team to focus on client service and business growth.

The ideal candidate will have strong accounting capability, excellent organisational skills, and the ability to manage multiple internal functions simultaneously.

This position reports to the Operations Manager and works closely with internal teams to ensure smooth daily operations across the organisation. This role is expected to take ownership of all internal operational matters of the firm, including internal finance, office administration, compliance coordination, telecommunications management, marketing coordination, and practice management.

The Finance & Office Manager will work closely with the Operations Manager to ensure internal systems run efficiently and that the organisation operates in a structured and well-managed manner.

As the business continues to grow, the successful candidate will have the opportunity to build and manage internal processes and support functions, helping strengthen the operational backbone of the group.

Key Responsibilities
1. Internal Finance Management
Oversee internal financial administration across group entities, including:
• Bank reconciliations across group companies
• Accounts Payable and Accounts Receivable management
• Internal billing administration and monitoring
• Expense tracking and cost monitoring
• Payroll administration support and superannuation coordination
• Supporting end-of-month financial administration including revenue tracking, gross profit monitoring and expense allocation
• Inter-company cross charges and internal allocations
• Supporting internal financial reporting preparation
• Supporting quarterly compliance preparation (BAS, IAS and related reporting)

2. Office Management
Manage internal office operations and administrative systems to ensure smooth day-to-day business operations.
Responsibilities include:
• Office administration and operational coordination
• Telecommunications management (phone systems, internet services and providers)
• Office facilities and vendor coordination
• Office systems administration and operational procedures
• Supporting internal office team coordination
• Monitoring administrative workflow efficiency
• Maintaining organised operational documentation and records

3. Marketing & Internal Coordination
Support internal marketing and communication coordination.
This includes:
• Coordinating marketing administration and campaign activities
• Supporting internal marketing initiatives
• Maintaining marketing materials and documentation
• Coordinating with external marketing partners when required
• Supporting internal communication initiatives

4. Compliance & Practice Management
Support internal governance and operational compliance across the firm.
Responsibilities include:
• Maintaining internal compliance calendars
• Coordinating annual administration including insurance renewals, workers compensation administration and internal compliance tracking
• Supporting practice management systems and processes
• Ensuring internal documentation and procedures remain organised and up to date

Reporting Structure
This role reports to the Operations Manager and works closely with internal teams to manage the firm’s internal finance and office operations.
The Finance & Office Manager will play an important role in ensuring all internal matters of the firm are properly managed and organised, supporting the overall efficiency of the business.

Requirements
• Bachelor’s degree in Accounting or Finance
• Minimum 2 years accounting or bookkeeping experience
• Strong understanding of bookkeeping and financial administration
• Excellent organisational and coordination skills
• Strong attention to detail and accountability
• Ability to manage multiple internal operational responsibilities
• Proficiency with accounting software and Microsoft 365 / Google Workspace
• Strong written and verbal communication skills
• Demonstrated ability to take ownership of internal processes and improve operational systems will be highly regarded
