We are a fast-growing CRM and automation agency specializing in Salesforce and HubSpot implementations. We’re hiring a Virtual Assistant to work directly with our two co-founders. The mission of this role is simple: give the founders back their minutes. Every task you take off their plate is time they can spend building the business, serving clients, and closing deals.
This is not a passive support role. You’ll be a force multiplier — someone who anticipates needs, takes initiative, and operates with the judgment of an extension of the founders themselves.
What You’ll Be Doing
You’ll own a wide range of administrative and operational responsibilities, including:
-Task management and execution across multiple areas of the business, from internal operations to client-facing follow-ups
-Calendar management for both founders, including scheduling, rescheduling, prioritizing meetings, and protecting focus time
-Inbox and message triage, including flagging urgent
-Client communication support, including responding to messages, following up on outstanding items, and keeping conversations moving
-Sales lead management, including monitoring inbound leads, flagging high-priority opportunities, and ensuring timely responses
-Ad hoc projects that come up in a fast-moving startup environment, ranging from research to documentation to vendor coordination
What We’re Looking For
-Excellent written and verbal English. You’ll be communicating with clients, prospects, and partners directly, often on behalf of the founders.
-Strong attention to detail. Small mistakes in calendars,
-Comfort with a fast-paced startup environment. Priorities shift, new tasks come in throughout the day, and you’ll need to stay organized when things move quickly.
-Strong sense of ownership. You don’t wait to be told what to do twice. You follow up, follow through, and close loops.
-Good judgment. You’ll be making small decisions on behalf of the founders constantly. We need someone who knows when to act and when to ask.
Nice to Have
-Previous experience as an executive assistant or virtual assistant.
-Familiarity with Google Workspace, Slack, and CRM tools (HubSpot or Salesforce experience is a plus but not required)
-Experience supporting founders or executives in a service or agency business
