JOB OVERVIEW

About us
We're Artis Support Services, a small Australian disability support business based in Queensland. We provide support to NDIS participants (the National Disability Insurance Scheme is Australia's government-funded disability support system). We're currently unregistered and preparing to go through NDIS registration, which means we need our systems, policies, and documentation properly organised and audit-ready before we apply.
We're a values-led team. We care deeply about the people we support and the people who work for us. We need someone who matches that energy.

What you'll actually be doing
This is a real operations role, not a generic VA role. A typical week might include:

Keeping our compliance documentation organised and up-to-date (policies, procedures, staff records, client files)
Helping us prepare for NDIS registration by tracking what's needed against the NDIS Practice Standards
Managing and improving our systems in Connecteam (staff scheduling, forms, training records)
Setting up automations and AI tools to remove manual work (we're open to ChatGPT, Claude, Zapier, Make, whatever works)
Drafting and scheduling social media content for our business and brand accounts
Responding to comments, DMs, and basic enquiries in our brand voice
General inbox and admin support

Who we're looking for
You don't need to be all of these, but you need to be most of them. Be honest in your application about which ones are real strengths and which ones you'd be learning.
Must have:

Strong written English (Australian or US-style, doesn't matter)
Real experience in the Australian NDIS or aged care sector (back-office, rostering, client coordination, or compliance — anything counts as long as you understand how it works)
Obsessive about organisation, file structure, naming conventions, version control
Comfortable with online systems and learning new ones quickly
Reliable, communicative, and good at flagging problems early

Strong bonus:

Hands-on experience with Connecteam (huge plus)
Experience preparing a provider for NDIS audit or registration
Comfortable using AI tools to speed up your work
Social media content experience (especially Instagram and TikTok)
Canva or similar design skills

Not required:

A nursing or auditing background. We'll bring in a specialist consultant for the actual audit prep — your job is to keep the engine running and the documentation tidy.

How to apply
Please send a message that includes ALL of the following. Applications missing any of these will not be reviewed:

The word "TOOWOOMBA" at the very top of your message (this is how we know you read the ad properly).
A short paragraph about your NDIS or Australian healthcare experience — what you did, for who, and for how long. Be specific.
Your experience with Connecteam if any. If none, tell us what comparable systems you've used.
One example of a process or system you improved in a previous role, and what changed because of it.
Your available hours in AEST (Brisbane time) and your hourly rate.
One AI tool you currently use in your workflow, and how you use it.

We read every application that follows the format above. We'll reply within a week to the ones we want to talk to further.
Looking forward to hearing from you.
— The Artis team
