AI Automation & Systems Specialist

We're looking for a technically curious, systems-oriented operator who's comfortable inside automation tools and AI workflows — someone who can take ownership of a complex marketing setup, fix what's broken, and improve what's already there.

This is not a software engineering role. Most of your work will involve improving and maintaining existing systems, not building from scratch. You'll work directly with the founder of a small operations agency. Our main client is an established US business that sells turnkey businesses to investors and runs 400–500 sales appointments per month through a heavily automated funnel. You'll own and improve that funnel — and over time, help us bring the same capability to other clients.

2. Problem-solving instinct. When something breaks, you investigate — trace the workflow, find the root cause, and propose the fix.
3. Comfort with complexity. You're not put off by unfamiliar systems or messy problems. You lean in and figure things out.


What You'll Do

- Own our GoHighLevel setup — a sub-account with complex workflows, pipelines, AI caller handoffs, and rebooking sequences. You'll bring order, document it, and keep it running smoothly.
- Maintain and extend our Make automations that move data between the CRM, AI callers, and other tools.
- Support our AI voice callers (Vapi) — update scripts, refine the assistant prompts, and keep the booking flow connected to our calendar.
- Use AI tools to analyse and generate marketing funnel reports — turning raw CRM data into clear insights we can act on.
- Build lightweight tools and automations using Claude Code, Cursor, or similar AI tools.
- Troubleshoot independently — when something breaks, you find the cause and fix it without needing to be walked through.


Who You Are

- Proactive, high-level English communicator. You don't go quiet for a day.
- Detail-oriented. You name things properly, document as you go, and leave systems cleaner than you found them.
- Comfortable with APIs, webhooks, and integrations — you don't need to be a developer, but you understand how data flows between tools.
- You use AI tools daily — ChatGPT, Claude, Cursor — they're a core part of how we work.
- You take ownership and move things forward without constant direction.


Required Experience

- GoHighLevel — building workflows, pipelines, and multi-channel sequences. Show us a
portal you've worked on.
- ---------- (or Zapier / n8n) — multi-step scenarios, webhooks, and connecting tools
via APIs. Show us a scenario you've built.
- Practical experience troubleshooting automations in real systems (not just tutorials).
- Confident implementing AI tools and automations (Claude, ChatGPT, Cursor, or similar) to maximise efficiency and output.

Nice to have: AI voice platforms (Vapi, Retell, Bland), experience with custom AI agents, OpenAI / Anthropic API, marketing instincts for reviewing copy.


Hours

- Full-time, 40 hrs/week.
- US East Coast overlap required — realistically a ~5pm Manila start.
- Not on-call. If something breaks at 2am, we fix it the next day.


Compensation

- $1,800–$2,000 USD/month, depending on experience. Flexible above range for the right candidate.
- 3-month probation at full rate, or a paid 2–4 week trial first depending on portfolio and interview.
- Long-term role with rate reviews and growth into broader AI agency work as we onboard more clients.
