Part-time virtual accountant — US Marketing Agency (QuickBooks Online)

We run a small business in the US (digital marketing agency, SaaS, and video production) all consolidated under one S-Corp. We have one QuickBooks Online file and roughly $1.5M in combined annual revenue. I'm looking for an experienced virtual accountant to take ownership of our bookkeeping and tax-prep workpapers long-term.

Phase 1 — what you'll own from day one

Weekly bank and credit card reconciliations (QBO)
Transaction categorization and bank rule maintenance
Monthly close and financial reporting (P&L, balance sheet, cash flow)
Year-end tax prep workpapers for our US CPA (we keep the US CPA for filing)
1099 tracking and prep, sales tax filings where applicable

Project: rebuild our chart of accounts and set up class tracking so we can report by business unit

Phase 2 — once you know the business (60–90 days in)

Document our current AR and AP processes (which I currently handle myself)
Propose a system for invoicing, collections, bill entry, and payment scheduling
Take ownership of the full AR/AP cycle once the system is in place

Required
**5+ years US client bookkeeping experience (please name the firms or clients)
**Expert-level QuickBooks Online — class tracking, custom reports, bank rules
**Experience with multi-entity or class-tracked books
**S-Corp experience (basis tracking, distributions, owner comp)
**Strong written English — you'll communicate with me directly via WhatsApp and email
**Reliable internet and 4+ hours of overlap with US Central Time (San Antonio)

Nice to have
**Philippine CPA or equivalent accounting degree
**Experience with digital marketing agency books (recurring retainers, ad spend pass-through, project-based revenue)
**Experience with USAePay, Stripe, or other payment processors
**Familiarity with healthcare-services clients
**Comfort with automation tools (n8n, Zapier) — we use n8n heavily
