About the Role
We are seeking a highly organized, proactive, and detail-oriented Virtual Personal Assistant to support a dynamic entrepreneur managing multiple ventures, including:
Elevate People Strategies (EPS): HR consulting firm supporting small to mid-sized businesses
LoadLyft Logistics & Carrier Services: Transportation and dispatch operations
Dr. J. Caldwell Brand: Author, speaker, and confidence strategist
This role blends HR support, administrative operations, bookkeeping, and personal/lifestyle management. The ideal candidate thrives in a fast-paced environment, anticipates needs, and executes with excellence.
Key Responsibilities
1. HR & EPS Support (Primary Focus)
Draft and format employee handbooks, HR policies, SOPs, and guides
Assist with compliance documentation (multi-state awareness is a plus: TX, WA, CO)
Create job descriptions, onboarding materials, and training guides
Support HR systems documentation (Paycom, Rippling, etc.)
Assist in building HR templates and frameworks for clients
Conduct light research on HR laws and best practices
2. Bookkeeping & Financial Support
Manage basic bookkeeping tasks using tools like Wave Accounting, QuickBooks, or similar
Track income, expenses, and categorize transactions (EPS + LoadLyft)
Upload and organize receipts and documentation
Assist with weekly contractor payment tracking
Prepare simple financial summaries/reports
3. Administrative & Business Operations
Manage calendars, schedule meetings, and coordinate appointments
Handle
Organize documents across platforms (Google Drive, Dropbox, etc.)
Assist with CRM updates and lead tracking
Support BDR and recruiting coordination (scheduling interviews, tracking candidates)
4. Travel & Scheduling Management
Book flights, hotels, and transportation
Build detailed travel itineraries
Coordinate logistics for events, speaking engagements, and business meetings
5. Personal & Lifestyle Support
Order groceries and manage recurring household needs
Research and recommend meal planning options (nutrition knowledge is a plus)
Manage personal appointments and reminders
Assist with life organization and planning
6. LoadLyft Business Support (Secondary)
Assist with carrier onboarding documentation
Organize dispatch and operations files
Support freight sales and CRM tracking
Help maintain compliance and document accuracy
Qualifications
Required
2+ years experience as a Virtual Assistant, Executive Assistant, or Operations Coordinator
Experience drafting professional documents (policies, guides, SOPs)
Strong organizational and time management skills
Excellent written and verbal English communication
Proficiency in:
Google Workspace (Docs, Sheets, Drive)
Microsoft Office
Basic accounting tools
Preferred
Background in Human Resources or Business Administration
Experience with bookkeeping/accounting systems
Familiarity with U.S. business operations
Experience supporting entrepreneurs or multiple businesses
Knowledge of:
HRIS systems (Paycom, Rippling, ADP)
CRM tools
Basic understanding of nutrition or meal planning
