ABOUT THE ROLE

We are a US-based independent insurance agency looking for a highly organized, reliable Virtual Assistant to support our daily operations remotely. You will be the voice of our agency — handling inbound calls, managing client pipelines, and keeping our workflows running smoothly. Must have clear, neutral-accent English — this is a client-facing phone role and verbal communication is the #1 requirement.

This is a fast-paced, structured role that requires someone who can think on their feet, follow systems precisely, and adapt quickly. If you thrive in a busy environment and love staying organized, this role is for you. This role requires you to manage multiple tasks simultaneously — answering calls, updating the CRM, sending emails and texts, and running quotes, often all at the same time. You must be able to prioritize quickly and stay organized under pressure.

YOUR DAILY RESPONSIBILITIES
------------------------------------------ ---------- . Answer and manage all incoming calls for your full 8-hour shift using a multi-line phone system — routing, transferring, and triaging calls professionally.

2. Send client emails and text messages on behalf of the agency with accuracy and professionalism.

3. Manage and update client pipelines and workflows inside our CRM — keeping records current and tasks prioritized.

4. Work within our Agency Management System (AMS) to support daily operations (full training will be provided).

5. Use our quoting software to run insurance quotes for auto, home, renters, and other lines as directed by the agency owner.

REQUIRED SKILLS & EXPERIENCE
-----------------------------------------------------

To qualify for this position, you must have:

- Excellent verbal and written English — this is a phone-heavy role and non-negotiable
- Experience using a CRM or pipeline/workflow management tool
- Strong multitasking ability — you will be juggling calls, emails, texts, and system tasks simultaneously
- Proven ability to work independently in a structured, process-driven environment
- A reliable high-speed internet connection and a quiet, distraction-free home office

- Previous experience in insurance, financial services, or a call center environment
- Familiarity with multi-line VoIP phone systems
- Experience with quoting software or agency management systems

- Google Docs, Google Sheets, Google Calendar
- Microsoft Word, Microsoft Excel
- Communications apps
- CRM or project management software (any platform)
- Time tracking software

- This is a full-time, long-term position
- Monday to Friday | 8:30 AM – 5:00 PM US Time | Fixed hours — you must be online and available for your entire shift
- US holidays observed

TRAINING PROVIDED
-----------------------------------------------------

Full training will be provided on our Agency Management System, CRM workflows, multi-line phone system, and quoting software. You do not need to arrive knowing every tool — but you do need to be a fast learner who takes training seriously.
