About the Role

Type: Full-time Contract
We’re looking for an Operations Coordinator to support and scale the instructor ecosystem at GenAI Academy.
As we grow from an internal content team into a global marketplace of instructors and AI experts, this role will be critical in ensuring everything runs smoothly — from onboarding new instructors to coordinating sessions and maintaining long-term relationships.
This is a high-ownership, operations-focused role where you’ll work closely with our Education Operations Lead and act as the backbone of all instructor-related processes.
What You’ll Do
1. Manage Instructor Pipeline
Receive and qualify inbound leads (after initial outreach)
Evaluate instructors based on expertise, experience, and audience relevance
Maintain and update the instructor pipeline (status, notes, next steps)
Follow up with leads and ensure consistent pipeline flow
Prepare qualified candidates for further evaluation
2. Coordinate Sessions & Events (Core Focus)
Organize and manage logistics for online sessions (30–45 min workshops)
Collect all required materials (topic, bio, slides, assets)
Schedule sessions and manage calendar invites
Coordinate with marketing for promotion
Ensure instructor readiness before sessions
Handle post-session follow-ups (recordings, feedback, communication)
3. Support Paid Instructor Programs
Schedule all meetings between instructors and internal stakeholders
Track progress across onboarding, content creation, and delivery
Follow up on deliverables (slides, drafts, materials)
Ensure timelines are met, and nothing is delayed
4. Maintain Relationships
Stay in touch with instructors after sessions
Identify opportunities for new sessions and courses
Manage ongoing communication and engagement
Flag any risks or issues early
5. Own Data & Reporting
Maintain a clean and structured database of instructors
Track pipeline status, session history, and engagement
Provide weekly updates on the pipeline and operations
Identify bottlenecks and suggest improvements

Smooth coordination of 8–10 sessions per month
Consistent pipeline flow of qualified instructors
Fast scheduling and zero missed meetings
Clear visibility of all instructor activity and status
Reduced operational workload for leadership

What We’re Looking For:
Must-have
Strong written English (all communication is in English)
2+ years of experience coordinating with external stakeholders (partners, freelancers, instructors, etc.)
Highly organized and detail-oriented
Ability to manage multiple tasks and timelines simultaneously
Comfortable working across time zones
Proactive and self-driven (can work independently after onboarding)
Nice-to-have:
Experience in education, ed-tech, or online learning platforms
Familiarity with AI or tech topics
Experience with tools like ClickUp, Notion, or similar
Experience managing pipelines or databases
