About Us
Stones Throw Apartments is a fast-growing UK-based short-let property management company. We currently manage 20+ properties across the UK — from London and Wembley to Worthing, Manchester, Birmingham and Wiltshire — and we are expanding rapidly. Our portfolio includes a mix of apartments, houses and unique stays listed on Airbnb, Booking.com and other platforms.
We are a small, hands-on team that takes great pride in delivering exceptional guest experiences and building a business we're proud of. We use Hostaway as our central property management system, along with a suite of tools including Charge Automation, Opago, Turno, Slack, Whatsapp, and an AI co-pilot to help manage communications.
The Opportunity
We are looking to hire one or two Virtual Assistants to join our team on a full-time basis. Depending on the candidates we attract, we are open to a senior/junior structure — with a more experienced VA leading operations and a junior VA supporting day-to-day tasks.
This is a genuinely exciting role for the right person. You will be central to how our business runs, with real responsibility from day one and the opportunity to grow with us as we expand. Over time, high performers will be given increasing autonomy and ownership of key processes.
The Role
Your primary responsibility will be to oversee and manage guest and cleaner communications across our portfolio, using our Hostaway AI co-pilot to handle the majority of routine responses. You will review, approve, edit and escalate messages as needed — ensuring every guest feels looked after and every issue gets resolved before it becomes a problem.
In addition, you will take on a range of operational and administrative tasks that keep the business running smoothly, with the expectation that your responsibilities will grow as you build your knowledge of our properties and processes.
Key Responsibilities
Guest & Cleaner Communications
• Monitor the Hostaway inbox, Airbnb, Booking.com, WhatsApp and
• Review and approve AI co-pilot draft responses — editing for accuracy, tone and property-specific detail
• Handle time-sensitive situations including lockouts, maintenance issues and urgent guest requests
• Communicate with cleaning teams across multiple clusters via WhatsApp and Slack
• Oversee post-clean photo and video reports, log issues and flag stock shortages
Bookings & Operations
• Review and respond to midterm rental (MTR) enquiries via Airbnb, assess calendar availability and present to management
• Process booking transfers from MTR listings to Hostaway-linked listings via Airbnb alteration requests
• Check and verify cleaner invoices against the Hostaway calendar prior to payment approval
• Register guest parking permits via the MiPermit portal (Worthing properties), and
Admin & Reporting
• Compile weekly summary reports covering communications, open issues, stock shortages and invoice queries
• Maintain and update property records and operational logs
• Draft negative review responses for management approval
• Support stock and supply management, with a view to taking over ordering independently over time
What We're Looking For
Essential
• Excellent written English — clear, warm and professional
• Strong attention to detail and the ability to spot errors or inconsistencies
• Highly organised, reliable and self-motivated — able to manage your own workload without being micromanaged
• Comfortable working with multiple platforms and tools simultaneously
• A genuine passion for hospitality and delivering great guest experiences
• Available to work UK hours (8am–10pm) on a rota basis, including weekends
• Able to respond to urgent out-of-hours situations when required
Desirable
• Previous experience in short-let, holiday rental or hospitality management
• Familiarity with Airbnb, Booking.com or Hostaway
• Experience as a Virtual Assistant in a property or operations role
• Ability to work independently and use good judgement in unfamiliar situations

Working Hours & Availability
Hours Full-time — UK hours (8am–10pm UK time)
Schedule Rota-based to ensure coverage across the week including weekends
Out of hours Urgent in-stay emergencies must be actioned outside standard hours
Location Fully remote — Philippines-based candidates preferred
