JOB OVERVIEW

Happy Thursday! Thank you so much for taking the time to review our job posting. ????

Priority will be given to applicants who:

- Write an ORIGINAL cover letter/response that directly addresses our requirements (i.e. not copied/pasted to high-volume applications).

- Do NOT use ChatGPT / AI tools to write your cover letter. We want to meet YOU first — your voice, your thinking, your honesty. (We’re not anti-AI; we just want your application to reflect you.)

=====
ABOUT US
=====

We’re Agency — a small (intentionally small), values-centric fractional marketing team serving ambitious, ROI-driven clients.

We take our work seriously, but we also take care of each other. We’re big believers in:

- Clear communication
- Kindness + professionalism
- Doing excellent work without burning people out
- Building long-term working relationships (not revolving-door hiring)

If you’re the kind of person who takes pride in quality, communicates honestly, and likes being part of a team that truly supports one another — we’d love to hear from you.

=====
OUR MISSION
=====

Our fiduciary duty is to provide our clients with integrity-led marketing centered on measurable ROI and delivering value long after our work is done.

=====
OUR VALUES
=====

We hire for alignment with our values and candidate transparency/honesty above all else. We’re proud of how much our team cares — about our clients, about the work, and about doing right by each other.

Candor as a Compass
----------
Our word is our bond. We communicate honestly, clearly, and directly — even when it’s hard — because trust is everything.

Purpose Over Profit
----------
We only take partnerships we truly believe in, where we can deliver meaningful, lasting impact.

Double or Nothing Approach
----------
We aim for total conviction that every dollar billed is likely to return multiples in long-term value.

Data Tell the Story
----------
We prioritize based on evidence. If it doesn’t show up in the data, it doesn’t count.

Fail Forward Philosophy
----------
We take smart swings, learn fast, and improve relentlessly — without blame, ego, or drama.

=====
ROLE OVERVIEW
=====

We’re hiring a full-time Content Operations Manager to own editorial quality, content planning, SEO viability, and process improvement across our content team.

This is NOT a “calendar-only” role and it’s NOT “just editing.”

This is a leadership + systems role for someone who can:

- Ensure every deliverable is on track and meets our standards
- Final-approve ALL content going out the door
- Build and improve the systems that make the team faster without sacrificing quality
- Use AI for speed, while applying strong human editorial judgment to produce content that ranks and converts

If you thrive when you’re accountable for outcomes, love clean processes, and have a sharp editorial eye — you’ll fit in well here.

=====
WHAT SUCCESS LOOKS LIKE
=====

- Client content deliverables ship on time, consistently
- Editorial quality is noticeably higher (clarity, structure, voice, logic, evidence)
- SEO content is built to rank (not just “written about a keyword”)
- Conversion/influence content is persuasive and brand-aligned (not generic)
- The team moves faster over time because your systems, templates, QA steps, and AI prompts are improving continuously

=====
KEY RESPONSIBILITIES
=====

Content Leadership + Final Approval (Quality Gate)

- Final approval of ALL content team deliverables before anything is sent to clients or published
- Enforce editorial standards: clarity, logic, structure, tone/voice, credibility, and usefulness
- Ensure content aligns to the content brief, client goals, and intended audience
- Reject content that doesn’t meet standards (kindly but clearly) and provide actionable revision steps

Content Planning + Delivery Management

- Own the content calendar and ensure deliverables stay on track
- Proactively surface risks: blockers, missing inputs, bandwidth constraints, deadline slips
- Coordinate with internal stakeholders (PM, SEO lead, account manager, etc.) to keep everything moving
- Ensure briefs are strong enough that writers/designers can execute without chaos or guesswork

SEO Strategy + Execution Oversight

- Ensure SEO deliverables are viable: search intent match, topical completeness, internal linking opportunities, SERP alignment
- Review outlines for depth, structure, and competitive coverage
- Ensure on-page fundamentals are correct: titles, headers, meta, keyword usage (without robotic stuffing), and formatting
- Coach and improve the team’s SEO execution over time

AI + Process Design (Efficiency Without Compromise)

- Maintain and improve prompts, templates, and workflows used for AI-assisted drafting
- Ensure AI-generated drafts are editorialized into high-quality, human-sounding final work
- Improve team SOPs, QA checklists, and handoff conventions
- Reduce revision loops and prevent recurring mistakes through better systems (not more nagging)

Client-Ready Standards

- Ensure deliverables are “client-ready”: polished, aligned, and defensible
- Maintain high trust through accuracy, consistency, and clear reasoning
- Identify patterns in client feedback and solve upstream (process/briefing/prompting/training)

=====
JOB REQUIREMENTS
=====

- 35–40 hours per week (full-time); flexible working hours
- Prompt communication and reliable follow-through
- A dependable computer, stable power, high-speed internet + backup hotspot
- Comfort using GSuite (Google Drive, Docs, Sheets) and basic Microsoft Office
- Ability to accept payroll via Wise (formerly TransferWise)
- Willingness to log hours using a time tracker (e.g. Hubstaff)

=====
REQUIRED SKILLS / TRAITS (NON-NEGOTIABLE)
=====

- Honesty and candid communication — even when it’s uncomfortable
(We can work through almost anything with transparency. Trust is the only thing we can’t rebuild once broken.)

- Native-level English fluency with deep editing experience (line editing + copy editing)

- Strong editorial judgment: you can quickly identify what’s weak and explain how to fix it

- Strong SEO understanding (search intent, SERP analysis, topical depth, on-page fundamentals)

- Strong content planning/project management instincts (deadlines, capacity, dependencies)

- Process design ability: you can build systems that are simple, repeatable, and scalable

- Comfort using AI tools for drafting and analysis, without sacrificing originality, credibility, or quality

- High standards, delivered with kindness (clear feedback without being harsh or ego-driven)

- Strong attention to detail and fact-checking discipline

=====
DESIRED SKILLS (BIG PLUS)
=====

- Experience managing a multi-writer editorial team
- Experience building SEO content engines (brief > outline > draft > edit > publish > optimize)
- Familiarity with Surfer/Frase/Clearscope, Ahrefs/SEMrush, GA4, GSC, Looker Studio (any is fine)
- Experience editing conversion-focused pages/emails (landing pages, homepages, nurture sequences)
- Experience creating or improving AI prompts specifically for SEO outlines and drafts
- Familiarity with WordPress and/or HubSpot CMS for basic formatting and publishing workflows

=====
EXPECTATIONS
=====

- Your manager will be there for you — and we will set you up for success — but…
- After onboarding, you’ll be trusted with real autonomy and real accountability
- You’ll be expected to think critically, prioritize intelligently, and keep the machine running
- We have a strict policy against logging/billing hours when you aren’t actively working
- If you can’t reach expected hours in a given week (sick, power outage, etc.), tell us as soon as possible
- You will be the final quality gate — which means your judgment must be reliable and consistent

=====
BENEFITS / HOW WE TAKE CARE OF OUR TEAM
=====

We work hard to build a place people actually want to stay — and we back that up with action.

- Paid Time Off (PTO) for full-time tea ---------- mbers (after probation)
- Paid holidays, including a company-wide Christmas/New Year break (Dec 23 – Jan 1)
- Regular raises and performance-based growth opportunities

AND — one of our biggest commitments:

- After 12 months of full-time employment, you become eligible for our 4-day workweek benefit:
- 25% pay raise, and
- 20% reduction in hours
(Example: moving from ~40 hours/week to ~32 hours/week while keeping pay whole.)

We don’t offer that to sound impressive. We offer it because we care about sustainability, family, health, and long-term performance.

=====
HOW TO APPLY
=====

Please include:

1) A short ORIGINAL cover letter answering:
- Why this role is a fit for you (specifically)
- Your editing + SEO strengths (what you’re best at)
- An example of how you improved a content process (what changed and what improved)
- Confirmation you’re comfortable with time tracking + full-time hours

2) 2–3 examples of work you’ve directly influenced (links are great), such as:
- Content you edited that performed well (rankings, traffic, conversions, client results)
- A content calendar or planning artifact you’ve managed (redact client names if needed)
- A SOP, checklist, or process you built that improved quality and speed

3) A brief note on your experience using AI in content workflows:
- What you use it for
- What your quality-control approach is
- How you prevent generic, low-quality output

Optional (but helpful): include the phrase “Data Tell the Story” in your subject line so we know you read the full post.

=====
CLOSING
=====

Thank you again for your time and consideration. If you’re a high-integrity editor and systems thinker who loves building a content machine that produces work you’re proud of — and you want to do it inside a team that genuinely supports you — we’d love to hear from you.

Have a wonderful rest of your week and weekend ahead. ????
