JOB OVERVIEW

We are a growing pelvic health physical therapy practice based in Pennsylvania, USA, looking for a reliable and detail-oriented Virtual Assistant to manage incoming Facebook ad leads inside our ---------- (GoHighLevel) and help convert them into scheduled patients.

This is a patient-facing role, requiring excellent written AND verbal English communication skills. You will be speaking directly with potential patients, so a friendly, confident, and professional phone presence is essential.

You will be responsible for responding to leads, following up via text and phone, and guiding and scheduling potential
patients.

Responsibilities

Manage and respond to Facebook/Instagram ad leads inside GoHighLevel
Send messages via SMS, email, and chat workflows
Call new leads promptly to follow up and assist with scheduling
Answer basic questions about services (training/scripts provided)
Schedule patients into our calendar system
Update contact records and pipeline stages in GHL
Ensure fast response times and consistent follow-up
Communicate in a warm, empathetic, and professional tone

Requirements

Excellent spoken and written English (clear, natural, and confident)
Comfortable speaking on the phone with U.S.-based patients
Strong communication and customer service skills
Experience using a CRM (GoHighLevel preferred)
Organized, reliable, and detail-oriented
Quiet work environment for calls
Ability to work during U.S. Eastern Time hours
