JOB OVERVIEW

Overview:

We are a multi-entity US-based business seeking a highly capable Bookkeeper / Junior Finance Lead to manage day-to-day financial operations and support high-level financial decision-making.

This role is not just data entry. You will be responsible for maintaining accurate books, ensuring compliance with US standards, and providing clear financial visibility to leadership.

Business Structure:
Multi-entity structure
Multiple revenue streams
High volume of contractor payments (1099) and payroll (W-2)

Core Responsibilities

1. Bookkeeping & Monthly Close
Maintain accurate books in QuickBooks
Categorize all transactions correctly across entities
Reconcile bank accounts, credit cards, and payroll monthly
Deliver monthly close within 5–7 days of month-end
Ensure clean separation between entities

2. Payroll & Contractor Oversight
Reconcile W-2 payroll and 1099 contractor payments
Ensure proper classification (W-2 vs 1099)
Track contractor payments and prepare data for 1099 filings
Coordinate with payroll providers as needed

3. Financial Reporting

Produce monthly reports including:

Profit & Loss (by entity)
Cash flow summary
Payroll summary (W-2 vs 1099)
Basic margin analysis (by category if possible)

Reports must be:

Accurate
Timely
Easy to understand
4. US Tax & Compliance Awareness
Strong understanding of US business financial practices
Familiarity with:
1099 contractor reporting
Payroll tax basics
Sales tax considerations (if applicable)
Ability to work alongside US-based CPA/tax preparer

5. Financial Insights (Light CFO Support)
Highlight unusual spending or trends
Identify areas of cost inefficiency
Provide basic forecasting support
Answer: “How much can we safely spend or distribute?”

Must understand multi entity structures & be comfortable reconciling inter-company transfers.
