Dispatch & Calendar Manager

What We’re Looking For:

Administrative & Coordination Experience:
You have previous experience in dispatching, scheduling, customer coordination, appointment setting, or administrative support.

Strong Communication Skills:
You must be fluent in English with excellent verbal and written communication skills.

Calendar Management Skills:
Ability to manage and coordinate multiple in-person sales representatives’ schedules efficiently.

CRM Experience:
Experience using CRM systems to manage leads, update customer information, and track appointments.

Attention to Detail:
Highly organized and capable of handling lead distribution, appointment confirmations, and follow-ups accurately.

Technical Proficiency:
Comfortable working with dialers, spreadsheets, CRMs, and online communication tools.

Home Office Setup:
Must have a reliable computer, professional headset, and quiet work environment.

Reliable Connectivity:
Strong and stable internet connection is required.

Key Responsibilities:
- Call customers to confirm scheduled appointments after the initial booking by the call center.
- Manage and coordinate calendars for multiple in-person sales representatives.
- Organize and maintain CRM records accurately.
- Collect incoming leads from marketing campaigns and distribute them to the call center team.
- Monitor appointment flow and help reduce cancellations or scheduling conflicts.
- Communicate with sales reps and management regarding schedule updates and lead status.
- Ensure all customer and lead information is updated correctly within the CRM system.
- Help maintain smooth daily operations between marketing, call center, and sales teams.
