Client Service Representative (Remote)

Jimerson Tax & Accounting LLC
Part-Time | 30-35 Hours Per Week | Fully Remote

Position Overview

Jimerson Tax & Accounting LLC is seeking a highly responsive and organized Client Service Representative to manage incoming client communication, schedule consultations, and drive follow-up on outstanding items.

This role is the operational heartbeat of the front end of the firm. You will be the first impression for new clients and a key driver in keeping engagements moving forward. Success in this role requires urgency, professionalism, and strong follow-through—especially in a remote environment.

Key Responsibilities

Client Communication (High Responsiveness Required)

* Answer incoming calls using firm phone system (VoIP)
* Respond to client emails and portal messages within defined response times
* Professionally handle inquiries from business owners and nonprofit leaders
* Capture and document new lead information accurately

Appointment Scheduling & Calendar Management

* Schedule consultations using Zoom Scheduler and internal calendars
* Send confirmations, reminders, and follow-ups
* Proactively reduce no-shows through reminder systems and direct outreach
* Coordinate across time zones when needed

Client Follow-Up & Accountability Tracking

* Follow up on missing tax documents, bookkeeping records, and required client information
* Maintain a live tracker of outstanding items
* Send structured follow-ups (not just reminders—clear requests with deadlines)
* Escalate unresponsive clients or bottlenecks quickly

Workflow & CRM Support

* Update client records in TaxDome and Zoho CRM
* Track status of onboarding, document collection, and active engagements
* Assist with sending engagement letters, organizers, and intake forms
* Keep internal systems clean, accurate, and up to date

Remote Work Expectations (Non-Negotiable)

* Reliable high-speed internet and quiet, professional workspace
* Ability to answer calls live during scheduled hours (not call-back only)
* Consistent availability during agreed-upon working hours
* Strong time management without direct supervision
* Daily check-ins and responsiveness via internal communication tools

Qualifications

Required

* 4 years of client service, administrative, or coordination experience
* Strong phone presence and professional communication skills
* Excellent organization and follow-up ability
* High attention to detail
* Comfortable working in multiple systems simultaneously

Preferred

* Experience in accounting, tax, or professional services firms
* Familiarity with CRM and client portal systems
* Experience with remote team environments
* Exposure to scheduling tools and workflow management systems

Schedule

* 30-35 hours per week during the working hours of 9:00am-5:00pm CST
* Set schedule preferred for consistency
* Potential for increased hours during tax season
