Position Overview

We are seeking a highly organized, proactive, and discreet Executive Assistant & Partner Relations Specialist to support executive leadership and strengthen strategic partner engagement. This role is ideal for a high-performing virtual professional who thrives in fast-paced environments, can manage executive priorities seamlessly, and understands the importance of maintaining strong business relationships with investors, clients, and strategic partners.

The ideal candidate combines executive support excellence with strong relationship management skills, exceptional communication abilities, and the discipline to operate independently in a remote work environment.

Key Responsibilities

Executive Assistance

* Manage executive calendars, scheduling, and appointment coordination across multiple time zones
* Coordinate internal and external meetings, including investor calls, partner meetings, and board-level engagements
* Prepare meeting agendas, briefing documents, presentations, and follow-up action reports
* Handle executive correspondence, including emails, communication drafts, and confidential documentation
* Organize travel planning, virtual event coordination, and logistics support when required
* Maintain organized digital filing systems, reports, and administrative workflows
* Track key deadlines, priorities, and deliverables for executive leadership
* Support project execution across multiple business initiatives and strategic priorities

Partner Relations

* Serve as a professional point of contact for investors, strategic partners, stakeholders, and high-level business relationships
* Assist in onboarding new partners, investors, and strategic collaborators
* Maintain CRM records and partner communication pipelines
* Track partner engagement activities, follow-ups, and relationship milestones
* Coordinate investor updates, reporting schedules, and partner communication touchpoints
* Support fundraising activities by managing relationship follow-up and communication flow
* Help strengthen long-term strategic relationships through consistent engagement and service excellence
* Assist with event coordination for investor meetings, networking events, and executive roundtables

Required Qualifications

* Proven experience as an Executive Assistant, Chief of Staff support, Client Relations Manager, or Partner Relations Specialist
* Strong understanding of executive operations and relationship management
* Exceptional written and verbal communication skills
* High level of professionalism, discretion, and confidentiality
* Excellent organizational and time management abilities
* Ability to work independently with minimal supervision
* Strong problem-solving skills and proactive decision-making
* Proficiency in Google Workspace, Microsoft Office, Zoom, CRM platforms, and project management tools
* Experience supporting senior executives, founders, or investment professionals preferred

Preferred Qualifications

* Background in finance, private equity, private credit, wealth management, or professional services
* Experience working with investors, family offices, institutional partners, or high-net-worth clients
* Familiarity with fundraising operations and investor relations workflows
* Experience supporting remote executive teams across multiple regions
