Job Overview
We are seeking a highly responsive, detail-oriented Property Manager to oversee day-to-day operations of residential properties across the United States.
This role requires a strong ownership mindset, excellent communication skills, and the ability to manage multiple priorities across tenant relations, maintenance coordination, leasing, compliance, and financial tracking.
This is a hands-on role where responsiveness is critical—you will be expected to actively monitor tasks, follow up consistently, and support both tenants and ownership in real time.
Core Responsibilities
1. Tenant Relations & Communication
Serve as the primary point of contact for tenants
Respond to tenant inquiries via phone, text, and
Handle escalations, disputes, and lease violations professionally
Send notices (entry, rent increases, lease renewals, violations)
Coordinate move-ins and move-outs
Maintain strong relationships with tenants and caseworkers
2. Leasing & Lead Management
Manage all incoming leads and inquiries
Schedule and conduct property showings
Convert leads into qualified applicants using effective sales techniques
Screen tenants and provide daily updates on new applications
Prepare lease documents and manage onboarding process
Track lease renewals and proactively follow up (90-day / 60-day notices)
3. Maintenance & Vendor Coordination
Manage maintenance requests and monitor portals daily
Assign and reassign tasks to ensure timely completion
Follow up with vendors and confirm scheduling
Verify completed work with tenants after closure
Coordinate move-in ready turns and repairs
Track open maintenance requests and claims
Schedule preventative maintenance (HVAC, seasonal, etc.)
Manage vendor relationships and accountability
4. Compliance, Inspections & Legal
Coordinate housing authority inspections (HAP compliance)
Ensure properties meet required standards
Schedule and track routine and certification inspections
Serve legal notices (7-day notices, demands, etc.) when required
Prepare documentation for court and eviction processes
Monitor lease compliance and enforce terms
5. Financial Management & Reporting
Track rent collection and monitor delinquencies
Apply and enforce late fees (after 5 days)
Manage and monitor payment plans with tenants
Review and explain P&L statements and owner reports
Reconcile expenses and assign costs to correct properties
Review credit card transactions and categorize expenses
Monitor utilities (water, gas, electric) and provide monthly summaries
Handle mortgage, HOA, and insurance tracking
Reconcile payments with county and vendor portals
6. Owner Communication & Reporting
Maintain strong relationships with property owners
Provide regular updates on property performance
Share monthly reports, maintenance updates, and financial summaries
Obtain approvals for repairs and major expenses
Deliver proactive recommendations to improve performance
7. Administrative & Operational Tasks
Maintain accurate records in CRM/property management systems
Upload invoices and manage documentation
Track lease data, tenant records, and compliance requirements
Monitor insurance policies and renewals
Ensure all utilities and accounts are properly set up
Maintain inventory tracking (filters, maintenance items, etc.)
8. Emergency & After-Hours Support
Act as point of contact for urgent maintenance or safety issues
Coordinate emergency vendor response when needed
Monthly / Recurring Responsibilities
Lease renewal tracking and follow-ups
Delinquency outreach and collection updates
Owner check-ins and reporting
Property condition and maintenance reports
Preventative maintenance planning
Eviction tracking and execution support
Utility and expense reconciliation
Claims tracking (e.g., Nicor Home Solutions)
Qualifications
Prior experience in property management, leasing, or real estate operations
Experience with US-based properties strongly preferred
Strong communication skills (clear, neutral English—written and spoken)
Comfortable handling phone calls with tenants, vendors, and owners
Highly organized with strong attention to detail
Ability to multitask and work independently
Strong problem-solving and follow-up skills
Experience with property management software preferred
Familiarity with Zillow, HotPads, and leasing platforms
Preferred Experience
Section 8 / Housing Authority experience
Vendor coordination and maintenance dispatch
Financial tracking (P&L, expense categorization)
Tenant screening and leasing conversions
Customer service or call-based roles
