Virtual Assistant – Bookkeeping & Job Costing

We are a growing HVAC & Plumbing company based in Houston, TX, looking for a highly detail-oriented Virtual Assistant specialized in bookkeeping and financial tracking.

This role is NOT a general VA position. We are looking for someone with strong bookkeeping experience who understands how to track expenses and profitability per project/job.

### ???? Responsibilities:

- Manage bookkeeping using QuickBooks Online
- Track and categorize all expenses daily (materials, labor, subcontractors, gas, tools, etc.)
- Assign every expense to the correct project (by property address)
- Maintain a clean and accurate financial system down to the exact dollar
- Reconcile bank accounts and credit cards regularly
- Review transactions (5–10 per day) and ensure proper classification
- Collect and organize receipts and supporting documents

### ???? Reporting:

- Create weekly reports in Excel including:
- Total expenses per project
- Total income per project
- Profit per job/project
- Reports must be clear, organized, and highly detailed
- Ability to identify discrepancies or missing information

### ???? Requirements:

- Strong experience with QuickBooks Online
- Experience with job costing / project-based accounting
- Advanced Excel skills (must be comfortable building reports)
- Extremely detail-oriented (every expense must be tracked correctly)
- Ability to work independently and stay organized
- Good English communication skills

### ? Schedule:

- Full-time in the beginning (training & system setup)
- After stabilization, role can become more flexible as long as all work is completed and reports are delivered on time

- Will be given access to company bank accounts and credit cards (viewing for bookkeeping purposes only)

- Based on experience
- Opportunity to move to a fixed monthly salary after proving performance

Someone who:
- Has worked with service companies (HVAC, plumbing, construction, etc.)
- Understands how to track profit per job
- Can keep financial records clean and organized without supervision
- Takes ownership and responsibility for accuracy
