JOB OVERVIEW

We’re a new electronic music project built by experienced producers, releasing a new track every ~6.5 weeks (8 releases per year). We’re looking for a full-time Virtual Assistant to become the operational backbone of every release.
This is a long-term role working directly with the founder (Sydney-based), an international design/video team, and AI tools like Claude. The artist is incognito — the brand is visual and system-driven, not personality-led.
You don’t need music industry experience. You do need to be reliable, detail-oriented, and comfortable using AI tools daily.

The Role
You will manage the execution of each release from start to finish across a structured 6-week cycle.

Key responsibilities include:
• Uploading releases via DistroKid and managing metadata (ISRC, UPC, lyrics)
• Setting up pre-save links and download gates (Feature.fm, Hypeddit)
• Scheduling and publishing social content across IG, TikTok, YouTube Shorts
• Running paid campaigns via Meta Ads and YouTube (Google Ads)
• Sending playlist pitches via Groover and SubmitHub
• Managing DJ promo coordination and logging feedback
• Building and scheduling email campaigns in Mailchimp
• Creating static visuals using AI tools (Claude), Adobe InDesign, or Canva (asset packs, EPKs, supporter cards)
• Updating website content for each release
• Tracking performance data and compiling weekly reports
• Maintaining a simple financial tracker (training provided)
You will use AI (Claude/ChatGPT) heavily — it drafts, you execute.

Must-Have Skills
• Strong written English
• High attention to detail (no metadata or link errors)
• Reliability — deadlines are fixed around release day
• Comfortable using AI tools daily
• Solid spreadsheet skills (basic formulas, tracking, organisation)
• Able to work with at least 3 hours overlap with Sydney time
• Fast learner across new tools
• Comfortable creating static visuals using templates and AI support

Nice to Have
• Interest in music or electronic music culture
• Experience with Notion
• Basic SEO understanding (YouTube titles, descriptions)

What You’re NOT Responsible For
• Creative direction or strategy decisions
• Music selection or artistic input
• Video editing (handled by external team)
• Contracts, negotiations, or financial approvals
• Acting as a public spokesperson

How We Work
• Mostly remote and flexible — work is done via Slack and shared documents
• Limited meetings — communication is clear and written
• Weekly check-ins, plus full attention on release day
• Clear systems and documented workflows
• AI is a core part of the workflow — not optional

Compensation
• $5 USD/hour
• 40 hours/week (full-time, consistent workload)
• ~$200 USD/week (~$800/month)
• 6-week paid trial (one full release cycle), then ongoing
