About the Role
We are a fast growing, results oriented Plaintiff Personal Injury law firm seeking a highly experienced Senior Case Manager to step into a high responsibility role. You will manage high value personal injury cases from intake through settlement and close out. You will serve as the primary point of contact for our clients, coordinating medical treatment, managing complex insurance claims, preparing polished demand packages, and ensuring strict compliance with all deadlines.

Key Responsibilities
Client Communication & Case Management:
• Serve as the primary client contact via phone, email, text, and client portal.
• Onboard new clients and clearly set expectations from day one.
• Provide regular case updates with empathy and professionalism.
• Maintain organized, highly detailed case notes and next actions in our case management system.

Insurance Claims & Coverage:
• Open and aggressively manage Bodily Injury, MedPay/PIP (if applicable), and UM/UIM claims.
• Rapidly obtain declarations pages, policy limits, and adjuster information.
• Request, track, and file UM/UIM Selection or Rejection Letters for applicable policies.
• Ensure complete and timely coverage verification for every file.

Deadlines & Compliance:
• Calendar and meticulously track California deadlines, including the 2 year statute of limitations and municipal/ante litem notice deadlines.
• Maintain a standard of zero missed deadlines and perfectly accurate documentation.

Medical Treatment & Records:
• Coordinate medical provider referrals under attorney direction.
• Monitor treatment progress and MMI status.
• Request, track, and strictly quality check HIPAA compliant medical records and bills.

Liens & Subrogation:
• Open and tightly manage Medicaid, Medicare, ERISA, and private health insurance liens.
• Obtain final lien demands and assist with aggressive reductions.

Demands, Settlement & Close Out:
• Prepare highly polished demand packages, including liability summaries, damages narratives, medical specials spreadsheets, and supporting exhibits.
• Support settlement negotiations for high value cases under attorney supervision.
• Process settlements, releases, disbursements, and case close out checklists.

Performance Metrics (KPIs):
We use KPI tracking to reward high performers with bonuses, not for micromanagement. You will be measured on:
• Time from assignment to demand and settlement.
• Coverage completeness (UM/UIM letters and verified limits secured within 30 days).
• Medical records turnaround time and first pass completeness.
• Zero missed deadlines and clean CRM documentation.

Qualifications:
• Proven plaintiff personal injury pre-suit case management experience.
• California PI experience is strongly preferred (or a rigorous willingness to learn CA specific rules).
• Deep working knowledge of UM/UIM, MedPay/PIP, medical billing terminology, and complex liens/subrogation.
• Exceptional written and verbal English communication skills.
• Highly organized, detail oriented, proactive, and tech savvy.
• Prior experience working effectively in a fast paced environment.
• Reliable, professional, and comfortable working completely independently in a remote setting.

Technology & Tools
• Experience with at least one major PI case management system (Filevine, Needles, SmartAdvocate, Lead Docket).
• Comfortable with Microsoft 365.
• Familiar with e-fax, e-signature tools, and VOIP systems.
(Training is provided for firm specific tools.)

Compensation & Benefits:
• $2,500 USD Monthly, paid bi-weekly. Negotiable depending on experience.
• 40 hour work week from 9 AM to 6 PM Pacific Time.
• Aggressive performance bonuses tied to KPIs (Up to $1,000 USD).
