JOB OVERVIEW

We operate a Shopify store serving customers across the Netherlands / Poland.

We are looking for a reliable, detail-oriented Customer Service Representative to handle our customer emails with care and professionalism.

What you will do
- Clear the entire customer email inbox once per day (approximately 20-50 emails per session)
- Translate incoming Dutch emails to English using DeepL (no Dutch language skills required)
- Match each email to the correct response category and send the matching pre-written Dutch template
- Handle return requests, refund escalations, lost packages, and defective product claims
- Log refunds in our tracking spreadsheet
- Verify supplier information on our internal supplier portal before sending return addresses
- Escalate unusual or complex cases to the owner

What we are looking for
- Excellent written English — strong grammar and attention to detail
- Experience with e-commerce customer service (Shopify, dropshipping, or similar)
- Ability to follow a documented workflow precisely and consistently
- Calm, friendly, and professional tone — especially when dealing with frustrated customers
- Reliable internet connection and a quiet work environment
- Available to work 6 days per week, one session per day
- Long-term availability preferred — we want to build a stable working relationship

What you DO NOT need
- Dutch language skills — all templates are pre-written in Dutch, you only need to copy, personalize, and send
- Phone support experience — this is email only
- Design or technical skills

Tools you will use
- Gmail (customer emails)
- DeepL (translation)
- Google Docs (our handbook with all templates — fully documented)
- Google Sheets (refund logging)
- A supplier portal (web-based, very easy to use)
- ChatGPT (for unusual emails — we provide the exact prompt to use)

Compensation and hours
- Part-time: approximately 12-14 hours per week
- Schedule: one daily session of about 2 hours, 6 days per week
- You choose your own time slot within European business hours — preferably between 9:00 AM and 6:00 PM CET (3:00 PM - 12:00 AM Manila time)
- Your task: clear the entire customer inbox once per day — no emails left for "tomorrow"
- Rate: $4-5 per hour, depending on experience (approximately $ ---------- per month)
- Payment: weekly via Wise only

Response time commitment
Every customer email must be answered within 24 hours of receipt. This means: when you log in, you clear the entire inbox in one session. Consistency is critical — our customers expect fast, professional replies, and one missed day creates escalations and angry replies.

Trial period
We start with a paid test task (1-2 hours at your hourly rate) using 5-10 real customer emails and our handbook. This lets both of us see if the workflow is a good fit before committing. If the test goes well, we begin with a 2-week trial period, after which we evaluate and continue long-term.
