JOB OVERVIEW

About the Role:
I own Trending Notary, a mobile notary and ink fingerprinting business based in New Jersey serving 8 counties plus Philadelphia. I need a proactive, detail-oriented VA to handle appointment scheduling, client communication, platform management, and outbound lead generation so I can focus on completing appointments and growing revenue.
Your Daily Tasks:
Scheduling & Client Communication

Answer incoming inquiries via email/text and book appointments
Manage signing platforms (Snapdocs, NotaryGo, etc.)
Send Google review request messages to clients post-appointment
Follow up on confirmations and no-responses

Lead Generation & Outreach

Research and build contact lists of elder law attorneys, estate planning attorneys, and title companies across NJ and Philadelphia
Research travel nurse staffing agencies and locate recruiter contact information
Contact HR departments at hospitals, nursing schools, and home health agencies for bulk fingerprinting opportunities
Execute outreach emails and follow-ups using scripts and templates I provide
Maintain a organized CRM spreadsheet tracking all contacts, outreach dates, and responses

Google Business Profile

Respond to new reviews within 24 hours using approved templates
Post weekly updates to keep the profile active

Requirements:

Excellent written English
Experience with scheduling, admin coordination, or lead generation
Comfortable with research and cold outreach
Reliable internet and computer
Available during US Eastern business hours
Organized, self-directed, and able to work from a checklist independently
