Job description
We are a U.S.-based manufacturing and construction-related company seeking a senior QuickBooks Online accounting specialist with strong experience in cleanup, chart of accounts design, inventory, job costing, monthly close, and financial analysis.

This is not a basic data-entry bookkeeping role. We want someone who can take ownership of the quality, clarity, and usefulness of our books over time.

Our business includes manufacturing, inventory, installation, and job-based work. We need someone who understands businesses that have both product sales and project/job cost activity.

We want someone who will spend time learning our business, how we make money, how our projects work, and what our financials should look like. We want our books closed each month in a disciplined and timely manner, transactions classified correctly, and our financial statements reviewed by someone who can tell us whether the numbers make sense.

We also want someone who can clearly explain the financials, identify issues, make practical recommendations, and provide strong cash flow analysis. This role should help us build order, improve financial visibility, and support better decision-making.

Main responsibilities:

Review our current QuickBooks Online file
Review and simplify our chart of accounts
Help redesign the COA into a cleaner, more useful structure
Ensure transactions are classified correctly
Ensure books are closed each month in a disciplined and timely manner
Review reconciliations and identify problem areas
Help separate direct costs, overhead, inventory-related costs, and job-related costs correctly
Review financial statements and help determine whether the numbers make sense
Learn our business model, operations, and market well enough to improve financial accuracy and reporting usefulness
Explain financial statements, trends, and concerns clearly to ownership
Make practical recommendations based on the financials
Perform cash flow analysis and help us improve cash visibility and planning
Flag items that should be escalated to a CPA or tax professional

Minimum qualifications:

5+ years of bookkeeping/accounting experience
3+ years of hands-on QuickBooks Online experience
Direct experience with manufacturing/inventory businesses and/or construction/job-costing businesses is required
Experience owning or supporting a disciplined monthly close process
Strong English communication
Able to review books and explain recommendations clearly

Strongly preferred:

Experience supporting U.S.-based businesses
Experience cleaning up messy books
Experience redesigning chart of accounts
Experience improving reporting structure and account usage
Experience with cash flow analysis and management reporting

Comfortable reviewing an imperfect system and bringing structure to it
Able to learn a business and not just process transactions
Honest about what should be escalated versus handled directly
Able to communicate clearly with ownership

As the business grows, we expect accounting volume to increase. We want someone who can grow with the role, help build sound accounting processes, and, if needed, help assign and review work performed by additional accounting support staff over time.
