JOB OVERVIEW

We’re hiring a project coordinator who will run the day-to-day of our studio — the kind of person who thrives on keeping complex projects moving, clients informed, and every detail accounted for.

About Savage Forms
Savage Forms works on high-end residential and hospitality spaces that feel collected, not decorated — designed, precise, and sourced with intention. Our work spans high end residential renovations in Sagaponack and Miami to ambitious hospitality builds in Costa Rica and Atlanta.

We move fast, think globally, and care deeply about execution. We’re building a studio where great ideas don’t get lost in chaos — and that’s where you come in.

About the Role
You’ll be the operational backbone of Savage Forms — the person ensuring 10+ concurrent projects stay organized, on schedule, and moving forward.

This is a project coordination role first, with light design support where helpful. You will not be responsible for CAD, modeling, or technical drawings — we have dedicated specialists for that. But ability to easily modify CAD drawings, or relevant design softwares are a big +++/

You’ll coordinate people, timelines, decisions, and communication — while helping translate design ideas into clear, polished presentations that clients can confidently approve. You'll prep client presentations, gather specified products to present, run budgets and track deadlines.

If you love structure, communication, and making complex projects feel seamless, this role is for you.

What You’ll Own
Project Management & Operations
Manage timelines across multiple projects using tools like ClickUp and Gantt charts
Keep deliverables, decisions, and dependencies on track
Proactively identify risks, bottlenecks, and gaps — and solve them before they escalate
Maintain organized project documentation and workflows

Client Communication & Leadership
Serve as a primary point of contact for clients across multiple projects
Run weekly check-ins and keep communication clear, proactive, and organized
Translate design updates into clear next steps and decisions
Build trust by being responsive, thoughtful, and detail-oriented

Vendor & Procurement Coordination
Source materials and vendors globally (we’ll guide you on this)
Request quotes, track orders, and manage procurement timelines
Coordinate between vendors, designers, and contractors to ensure alignment

Construction & Execution Support
Coordinate with GCs and external architects on timelines and deliverables
Track progress and ensure materials and decisions are aligned with project schedules
Help keep projects moving smoothly from concept through execution

Design Support (Light)
Create polished presentations, mood boards, and client decks (Canva preferred)
Support early-stage design thinking through research, references, and organization
Help translate ideas into visuals that clients can understand and approve
Photoshop or visual editing skills are a plus

Studio Operations
Help the studio run smoothly day-to-day
Track expenses, maintain files, and improve systems
Identify ways to streamline workflows and increase efficiency

Detail-oriented without losing sight of the big picture

Proven project coordination experience

Strong written and verbal English
