Virtual Assistant & Operations Coordinator (Full-Time)
We are scaling two distinct, high-growth businesses—Acme Carriers (Transport & Logistics) and The Cue Shop (Billiards & Accessories e-commerce)—and need a proactive operational backbone to lead the charge. This is a remote, full-time role for a tech-savvy professional who can juggle administrative precision with creative marketing execution.
???? The Mission
Acme Carriers: You will help expand our transport services into storage, packing, and crane/Hiab work. This includes managing a website overhaul and implementing ServiceM8 to streamline operations.
The Cue Shop: You will relaunch this brand after a 1-year hiatus. Your focus will be on Shopify management, SEO, and aggressive marketing to introduce an expanded product range.
???? Key Responsibilities
Operations & Admin
Inbox & Calendar: Maintain a "Zero Inbox" policy; filter, respond, and flag urgent items. Coordinate complex travel and meeting schedules.
Technical Setup: Implement and manage operational workflows in ServiceM8, Tekmatix, and Xero.
Project Management: Lead the transition to new website platforms and service expansions with strict deadlines.
Marketing & Creative
Social Media: Draft, edit, and schedule high-engagement content for Instagram,
E-Commerce: Manage the Shopify backend, update product listings, and improve SEO.
Content: Basic video/photo/podcast editing and professional copywriting for web and
Advertising: Monitor and assist with Google PPC campaigns to drive traffic.
Financial & Research
Finance: Generate invoices, manage expense data entry, and handle arrears/collections.
Analysis: Perform market research and provide basic reports on CRM data and business growth.
? Required Skills & Qualifications
Experience: Minimum 1+ year in a Virtual Assistant or Executive Assistant role.
Shopify Expert: At least 1 year of hands-on Shopify experience is essential.
Tech Stack: Proficient in Microsoft 360, Google Workspace, and project management tools.
Advantageous: Prior experience with ServiceM8 and Tekmatix (highly regarded).
Marketing Savvy: Understanding of Google PPC, workflow automation, and CRM setup.
Communication: Exceptional written and verbal English with a professional "brand voice."
Creative: Competent in Canva; ability to edit multimedia and write compelling copy.
