BuildXact estimator / Quantity Surveyor

We are a residential building company in New Zealand.

We use BuildXact to manage our projects, including creating estimates and takeoff's.

We are seeking a BuildXact Estimate & Job Manager.

BuildXact experience highly advantageous. Experience in handling residential building plans in NZ highly advantageous. Experience with reading architectural plans and creating material takeoff's required.

Role tasks;
- Manage a pipeline of leads into creation of estimates for business owner approval.
- This includes but is not limited to; set up of client letter with written scope of works, estimate costings created from notes given by Project Manager or from architectural plans provided, on job acceptance a schedule of works template created.
- All of this is conducted in BuildXact, SOP's on process are provided.
- Daily communication to business owners critical, all via email, WhatsApp, Zoom or Loom videos.

KPI's
1.Estimates (Weekly Estimating Control)
Objective: Build accurate estimates efficiently.
KPIs
100% of estimates reviewed and updated every Monday by 10am
Each estimate must have a current status (In Progress / Awaiting Approval / Sent / Accepted / Rejected)
Estimate into Awaiting Approval status within 14 days (excluding new build or renovation)

2. Job Setup After Acceptance
Objective: Ensure new projects are properly set up so directors don’t need to manage admin.
KPIs
100% of accepted jobs set up within 48 hours
Job schedule created in Buildxact
Client contact details verified
Job folder and documentation complete

Hours will be fluctuating - a new build estimate will take considerable time, some weeks there may be 10 very small jobs to estimate.
