Executive Assistant – Real Estate Operations & AI Integration

We are seeking a high-caliber Executive Assistant to support a top-tier real estate professional. This is not a traditional administrative role; we are looking for a tech-forward professional who can bridge the gap between high-level real estate operations and cutting-edge automation.

The ideal candidate is a proactive problem-solver who understands the nuances of the real estate market—from investment strategies to property management—and possesses the technical curiosity to leverage AI tools to scale our efficiency.
Key Responsibilities

•? ?Executive Support: Manage complex calendars, prioritize high-volume correspondence, and act as the primary gatekeeper for internal and external stakeholders.
•? ?Real Estate Operations: Assist in the management of property listings, vendor coordination, insurance renewals, and professional correspondence with tenants and investors.
•? ?AI & Workflow Automation: Identify opportunities to integrate AI tools (such as ChatGPT, Manus AI, Claude AI, Open Claw or specialized CRM automations) into daily workflows to streamline content creation, lead generation, and data management.
•? ?Project Management: Oversee specialized projects, including recruitment for remote roles, property marketing campaigns, and the tracking of investment portfolios (Fix & Flip, BRRRR, etc.).
•? ?Communications: Draft and polish professional newsletters, investment articles, and sensitive emails with a high degree of accuracy and a professional tone.

Required Qualifications

•? ?Real Estate Expertise: Minimum of 2–3 years of experience in a real estate-focused administrative or assistant role. Familiarity with residential listings and investment vehicles is highly preferred.
•? ?Tech Proficiency: Advanced skills in AI prompting and automation software (e.g., Zapier, Manus AI, Claude AI, Open Claw or specific real estate CRMs).
•? ?Communication: Exceptional written and verbal communication skills; ability to represent an executive brand with poise and professionalism.
•? ?Agility: A "no task too small, no challenge too big" mindset with the ability to pivot quickly in a fast-paced market.
