Purpose in One Sentence
To ensure Kassoe Housing Switzerland GmbH operates in a structured, efficient, and scalable way by overseeing all operational areas of the business and taking full responsibility for creating order, accountability, and delivery across the company.

Role Summary
Kassoe Housing Switzerland GmbH is seeking a highly capable, experienced, and accountable Operations Manager to oversee the full operational running of the company.

This role is responsible for bringing structure, control, accountability, and order across every key function of the business, including Sourcing, Service, Finance, Logistics, Marketing, Sales, and On the Ground Personnel.

The role is fully remote, but the successful candidate must work to Central European Time hours and remain fully available during the company’s required working window. Due to the nature of the role, flexibility outside normal hours is also essential where needed to maintain order and ensure operational delivery.

The successful candidate must be experienced enough to step into an active operational environment with minimal training. Training will be provided on internal systems and current company processes only. Beyond that, the expectation is that the individual already has strong operational management experience and is able to take ownership of the role within the first couple of weeks.

Core Purpose of the Role
To oversee and manage all aspects of company operations, ensuring that every department functions effectively, deadlines are met, service standards are maintained, communication is clear, logistics are fully controlled, and the business operates in an organised, professional, and commercially effective manner.

Main Areas of Responsibility
1. Full Company Operations Oversight
The Operations Manager will oversee the day to day running of the company across all major operational functions, ensuring alignment, accountability, and efficiency throughout the business.

This includes responsibility for:

Sourcing
Service
Finance coordination
Logistics
Marketing coordination
Sales coordination
On the Ground Personnel and field activity
Internal systems, processes, and reporting
Communication and accountability across all departments
The Operations Manager is expected to create order, visibility, and structure across the company and to ensure that no area is being neglected, delayed, or handled below standard.

2. Sourcing Oversight
Monitor incoming accommodation requests and allocation of work.
Ensure sourcing is carried out thoroughly and within required timeframes.
Oversee property searches, negotiations, approvals, and offer progression.
Ensure client requirements, locations, parking, budgets, and move in dates are properly understood and executed.
Maintain visibility over open opportunities and sourcing conversion.
Ensure all sourcing systems and trackers are updated correctly.
Ensure the sourcing function operates with urgency, structure, and commercial awareness at all times.

3. Service Oversight
Oversee the service department to ensure residents and clients receive a high standard of support throughout the full stay period.
Ensure move in readiness and resident communication are handled properly.
Monitor maintenance issues, complaints, extensions, replacements, and move out coordination.
Create accountability around response times, issue resolution, and internal communication.
Maintain a consistent service standard across all properties and clients.
Ensure issues are escalated quickly and resolved professionally.

4. Finance Coordination Oversight
Ensure supplier costs, operational charges, and supporting documentation are captured accurately.
Coordinate with finance to ensure invoices and cost information are submitted correctly and on time.
Monitor cost control across operations.
Identify inefficiencies, unnecessary spend, and financial risks within operations.
Ensure operational teams follow required financial procedures.
Maintain discipline around approvals, records, and reporting to support accurate financial control.

5. Full Responsibility for Logistics
Coordinate furniture delivery, collections, installations, removals, and storage.
Manage key logistics, access arrangements, apartment readiness, and deadlines.
Coordinate suppliers, movers, installers, and internal teams.
Ensure apartments are ready on time and to the Kassoe standard.
Manage urgent logistics issues quickly and effectively.
Keep full visibility and control over all logistical activity.
Reduce disruption, delays, and avoidable costs through strong planning and follow through.
Take full ownership of logistics as a critical part of the operational success of the company.

6. Marketing Oversight
Ensure marketing tasks are planned, executed, and followed through.
Coordinate with internal or external marketing support.
Maintain visibility over campaigns, content, and lead generation activity.
Ensure marketing supports sales and wider business goals.
Help create accountability and regular reporting around marketing performance.
Ensure marketing activity is aligned with company priorities and delivered consistently.

7. Sales Oversight
Maintain order and visibility across the sales pipeline.
Ensure opportunities are followed up properly and in a timely manner.
Support coordination between sales and operations.
Ensure proposals, client requirements, and internal actions are followed through.
Help improve consistency, accountability, and conversion across sales activity.
Support the wider business in maintaining a professional and commercially effective sales process.

8. On the Ground Personnel Oversight
Coordinate tasks and priorities for on the ground personnel.
Ensure field teams understand their responsibilities clearly.
Monitor performance, communication, and reliability.
Make sure on site activity supports the wider operation smoothly.
Escalate and resolve issues quickly where standards are not met.
Ensure field based activity reflects company standards and expectations at all times.

9. Systems, Process, and Accountability
Manage work through company systems and trackers.
Use Time Doctor as part of operational oversight and accountability.
Ensure tasks are clearly assigned, monitored, and completed.
Improve workflows, checklists, templates, and operational procedures.
Identify gaps, bottlenecks, and recurring problems, then fix them.
Hold departments and individuals accountable for delivery and standards.
Report clearly to management on performance, issues, and solutions.
Build a culture of structure, follow through, ownership, and operational discipline across the company.

Experience Required
Applicants must have:
Proven experience managing operations across multiple functions within a business.
Strong experience creating order, systems, and accountability.
Experience managing teams, suppliers, deadlines, and operational pressure.
Experience overseeing logistics and coordinating moving parts across departments.
The ability to step into an active business quickly with minimal hand holding.
A strong track record of taking ownership and solving problems independently.
Demonstrable experience and references that Kassoe Housing Switzerland GmbH can contact directly.
Candidates without clear operational management experience should not be considered.

Be able to work remotely while maintaining full availability during CET hours.

Be confident overseeing all operational aspects of the company, not just one department.

Working Hours
This is a full time remote role.
Minimum guaranteed working hours are 40 hours per week.
Normal working hours are 09:00 to 17:30 CET.
The successful candidate must be fully available and working during CET hours regardless of their country of residence.
Due to the nature of the role, the Operations Manager must also be willing to work outside normal working hours whenever reasonably required to maintain order, support delivery, and ensure operational standards are met.

This role is not suitable for someone seeking a strictly fixed hours position.

Employment Conditions
This role is remote.
This role must be the employee’s only job, strictly.
Paid holiday entitlement is 20 days per year, available after successful completion of the three month probation period.
A sickness pay plan will apply after successful completion of probation.
Time Doctor software is used by the company.
A phone system app will be provided for business communication.
Training will be limited to company systems and current processes, as the successful candidate is expected to already be experienced in managing operations.
