Supply Chain Assistant

With rapid growth across both DTC and wholesale channels, and increasing operational complexity, the business is investing in strengthening its supply chain foundations to support scale, speed, and accuracy.

ROLE PURPOSE
The Supply Chain Assistant plays a critical operational support role across the end-to-end supply chain.
This role is responsible for ensuring that orders, inventory data, supplier documentation, and logistics processes are accurate, up to date, and flowing smoothly from suppliers ? warehouse ? customers.
The position is highly detail-oriented and process-driven, acting as the backbone of day-to-day supply chain execution.
While the role is administrative in nature, it requires strong ownership, problem-solving, and the ability to work autonomously in a fast-paced environment.

KEY RESPONSIBILITIES
Logistics & Supplier Coordination
Liaise with suppliers to confirm Cargo Ready Dates (CRDs)
Collect, confirm, and file packing lists and commercial invoices
Coordinate with freight forwarders on shipments and delivery timelines
Maintain accurate and up-to-date delivery information in internal systems (GTM, Cin7)
Update shipment timelines and key dates in Cin7 POS
Enter new SKUs into the master SKU sheet
Maintain accurate SKU data including dimensions and weights

FORECAST REPORTING & DATA MANAGEMENT
Update payment dates in line with shipping timelines
Send remittance advice to suppliers
Record and track freight costs and payments
Support broader data gathering for demand planning and reporting

WAREHOUSE COORDINATION
Support daily reporting updates (including demand planning inputs)
Update shipment information for internal stakeholders
Liaise with warehouse teams regarding inbound deliveries
Reconcile received stock against purchase orders in Cin7
Process purchase order receipts accurately in Cin7

CIN7 & SYSTEM MANAGEMENT
Enter and manage purchase orders in Cin7
Process PO receipts and freight-related expenses
Maintain accurate product data (style names, categories, attributes)
Ensure consistency between Cin7 and Shopify data structures
Maintain product dimensions and pallet configurations
Support data cleanliness for reporting and analysis

CURRENT ENVIRONMENT & EXPECTATIONS
Seed & Sprout operates in a high-growth, high-SKU-complexity environment with frequent new product launches and evolving operational processes.
This role requires:
High attention to detail across large volumes of data
Comfort with repetitive but critical tasks
The ability to work independently (approximately 90% autonomous)
Strong communication across suppliers, freight partners, and internal teams

SKILLS & EXPERIENCE
Strong organisational skills and deadline management
Excellent attention to detail and data accuracy
Proficiency in Excel or Google Sheets
Experience with Cin7 (or similar inventory management systems)
Understanding of Shopify and its impact on reporting and operations
Strong relationship management skills (suppliers, freight forwarders, warehouse teams)
Calm, solutions-focused approach under pressure
Ability to work independently and take ownership of tasks

WORKING HOURS & STRUCTURE
Full-time, Monday to Friday (approx. 9am–5pm, with some flexibility)
Fully remote role based in the Philippines
Requires consistent availability aligned with Australian business hours

FIRST 90 DAYS - WHAT SUCCESS LOOKS LIKE
Develop strong understanding of systems (Cin7, SKU master, payment tracking)
Take ownership of core administrative workflows with minimal supervision
Ensure high accuracy across purchase orders, shipments, and inventory data
Build effective working relationships with suppliers, freight partners, and warehouse teams
Begin supporting automation and process improvement initiatives downstream
