Position overview
We are looking for a motivated, highly organized Administrative Assistant to join our team. In this role, you will serve as the first point of contact for patients and callers, support the Director of Operations, help recruit and onboard new staff, and keep daily operations running smoothly. Key responsibilities
Support for Director of Operations

Provide direct administrative support to the Director of Operations, assist with special projects, prepare reports, and help carry out day-to-day operational priorities.

Patient communication & phone calls

Answer incoming calls promptly and professionally, assist patients with scheduling, questions, and concerns, and make outbound calls as directed.

Scheduling & calendar management

Create and maintain staff schedules, coordinate appointments and meetings, and ensure accurate calendar management across the team.

Data tracking & Excel reporting

Build and maintain Excel spreadsheets and trackers to monitor key metrics, staff data, and operational information. Organize and update records consistently to ensure data accuracy.

Recruiting & hiring

Post job openings, review applications, coordinate interviews, and assist with the full hiring process from start to finish.

Staff training & onboarding

Onboard and train new employees, ensure they understand office policies and procedures, and provide ongoing guidance and support.

General office organization

Keep the office organized and running efficiently, manage filing systems, handle correspondence, and provide support across departments as needed.

What we're looking for
Proficient in Microsoft Excel — able to build and manage spreadsheets, trackers, and reports

Strong verbal and written communication skills

Exceptional organizational skills and attention to detail

Ability to manage multiple priorities and meet deadlines in a fast-paced environment

Experience in a healthcare, medical, or patient-facing environment preferred

Prior experience in recruiting, HR, or staff management is a plus

Compassionate, professional demeanor with a patient-first attitude
