JOB OVERVIEW

Operations & Automation Assistant (Real Estate)

Overview

Fast-growing real estate company (flips, rentals, renovations) seeking a detail-oriented, tech-savvy assistant to manage operations and build efficient systems using AI and automation.

You will work directly with the CEO to streamline workflows, track projects, and improve overall efficiency.

Key Responsibilities

Operations & Coordination
• Manage materials, permits, inspections, and schedules
• Track renovation progress and timelines
• Organize property documents and workflows

Admin & Communication
• Coordinate showings, vendors, and appointments
• Handle day-to-day communication and problem-solving and other adhoc projects

Tenant & Rental Support
• Manage tenant communication and inquiries
• Assist with listings, leases, and maintenance requests

Financial Support
• Track expenses, receipts, and records
• Assist with insurance and refunds

AI, Automation & Systems (Core Focus)

• Assist with building and managing workflows in Trello to keep projects organized and on track
• Support identifying repetitive tasks and opportunities for automation
• Assist with implementing and maintaining tools such as Zapier, Make, n8n, and ChatGPT
• Help improve systems for task tracking, project management, and reporting

Requirements
• Experience as a Virtual Assistant or Operations Assistant
• Strong experience with Trello (required)
• Experience with automation tools (Zapier, Make, n8n)
• Familiar with AI tools (ChatGPT, workflows, prompts)
• Highly organized, detail-oriented, and proactive
• Strong problem-solving skills
• Reliable internet
