We are looking for a detail-oriented
Finance and Operations Assistant to handle the day-to-day bookkeeping and data tracking for a federal construction firm. This is not just a "data entry" role; we want a teammate who understands the "why" behind the numbers.
The primary focus is financial accuracy—managing QuickBooks, reconciling accounts, and maintaining complex Google Sheets for job costing. We are starting this as a **part-time position (approx. 20 hours/week)** with the goal of moving into a full-time role as you become an essential part of our operations.
Compensation & Growth
* **Starting Rate:** $7.00 – $10.00 USD per hour (depending on experience).

Key Responsibilities
1. Finance & Bookkeeping (Core Focus)
* **QuickBooks Management:** Import bank statements, categorize expenses for tax purposes, and perform weekly reconciliations.
* **Job Costing:** Use receipts and digital data to create detailed expenditure reports for specific project items.
* **Financial Tracking:** Update the Cashflow Statement, Profit & Loss (P&L), and Debt Schedule weekly.
* **Spreadsheet Analysis:** Use Google Sheets to total weekly expenditures, compare them against monthly billings, and project expenses against cash on hand.
* **Data Visualization:** Maintain simple graphs in Google Sheets showing expenditures versus cashflow.
2. Payroll & Equipment Admin
* **Payroll Support:** Review weekly employee hours for accuracy, import them into the payroll system (Square), and send them to the owner for final review.
* **Payment Calendar:** Track equipment and rental payment dates; send out reminders at least one week in advance.
* **Equipment Logs:** Update Google Sheets for equipment maintenance and damages.
3. Operational Support & Coordination
* **Daily Reporting:** Coordinate with the project Foreman to collect daily site photos and a brief summary of work accomplished.
* **Weather & Team Sync:** Fill out daily weather reports and help set the agenda for weekly tea
* **Team Collaboration:** We want a collaborator, not someone who works in total isolation. You will be expected to communicate openly, ask questions, and suggest improvements to our processes.
Technical Requirements
* **QuickBooks Expertise:** You must be comfortable reconciling statements and categorizing expenses by job.
* **Google Sheets Advanced Skills:** You must be highly skilled with formulas, pivot tables, and creating professional-grade charts/graphs.
* **Financial Literacy:** A strong understanding of P&L statements, job costing, and cashflow management.
Qualifications
* Experience in a finance-heavy VA role or a background in accounting/bookkeeping.
* **Proactive Communication:** You don't wait to be told what to do; you see a deadline approaching and you hit it.
* **Attention to Detail:** You take pride in "clean" books and error-free spreadsheets.
* Excellent written English for reporting and team communication.
