JOB OVERVIEW

About the Role
We are a private-pay in-home senior care agency based in Texas. We operate two locations and are actively growing. The CEO is looking for a sharp, reliable Executive Assistant to take ownership of his calendar, inbox, and internal documentation so he can stay focused on running the business.

This is not a task-list role. The right person thinks ahead, catches things before they become problems, and communicates clearly without needing to be chased. You will work directly with the CEO every day. Your job is to protect his time and keep his operation running clean. You will be required to do 1 to 2 daily video meetings per day with the CEO to align on tasks.

What You Will Own
Your three primary responsibilities are calendar management, inbox management, document and SOP creation in addition to a variety of other items. On the calendar, you own the schedule completely, you book, reschedule, protect, and organize it. Nothing slips through because you let it. On inbox, you triage, flag, draft responses, and keep things from piling up. On documentation, you use AI tools to help create and maintain Standard Operating Procedures, organize files in Google Drive, and prepare clean written materials the team can actually use.

You will use Google Workspace (Gmail, Calendar, Docs, Sheets, Drive), RingCentral for messaging and calls, and AI tools including Claude and ChatGPT daily. If you have never used AI tools to write or improve documents, this role is not a fit.

What We Are Looking For
Written English is the first filter. If your application has grammar errors, we will not move forward. This role requires clear, professional communication every day with the CEO, with vendors, other staff and in documents that represent the company.
Beyond that, we want someone who takes initiative. If you see something that needs to be done and it is within your scope, you handle it and report back. You do not wait to be told twice.

To apply, read this carefully: In your application message, begin with the phrase "Montebello Ready" at the very top. Then in 3–5 sentences, tell us about a specific time you managed a busy executive's calendar or inbox and what system you used to stay organized. Do not send a generic cover letter. Applications that do not follow these exact instructions will not be read.

Compensation and Schedule
This is a full-time remote position. You will work Monday through Friday, 8:00 AM to 5:00 PM Central Time. Compensation is $8–$15 per hour depending on experience, paid via OnlineJobs.ph.
