JOB OVERVIEW

Deal Flow & Relationship Management


A major focus of this role is ensuring that business opportunities and relationships are organized and consistently followed up on.


Responsibilities include:

• Maintain the founder’s opportunity and relationship pipeline inside GoHighLevel CRM
• Track conversations with potential clients, referral partners, sponsors, and collaborators
• Monitor email threads and identify conversations requiring follow-up
• Draft follow-up emails for the founder to review and send
• Schedule meetings and manage outreach follow-ups
• Send recap emails after calls when appropriate
• Maintain organized relationship notes inside the CRM

Founder Operations & Executive Support


You will help reduce the founder’s operational load by organizing communication and maintaining clear priorities.


Responsibilities include:


• Organize and maintain the founder’s inbox
• Draft email responses and follow-ups
• Track commitments made in meetings
• Maintain a simple task and project tracker for the founder
• Coordinate calendar scheduling
• Organize documents and resources
• Identify tasks that should be delegated to tea ---------- mbers or contractors


This role helps ensure the founder can focus on strategy, sales, and partnerships.
Project Coordination & Specialist Management


The founder runs multiple initiatives across Effortless Hire and Side Hustle. Your role is to ensure those projects maintain forward ---------- ntum.


Responsibilities include:


• Track key projects and initiatives
• Break projects into clear next steps
• Coordinate execution with internal VAs or specialists
• Monitor progress and ensure deadlines are met
• Identify when additional talent is needed for execution


When additional support is needed, you will:


• work with the Effortless Hire recruiting team
• identify suitable candidates from the existing VA talent pool
• coordinate interviews or trial projects
• project manage the selected specialist


Example projects you may coordinate:


• CRM organization and data cleanup
• newsletter and email list setup
• LinkedIn content repurposing from past calls
• sponsorship outreach campaigns
• internal training documentation
Knowledge Capture & Content Repurposing


The founder records many calls using Fathom. These conversations contain valuable insights and content.
Responsibilities include:

• Review Fathom call recordings and transcripts
• Extract key insights and action items
• Turn useful ---------- nts into draft LinkedIn posts or newsletter ideas
• Organize knowledge into internal documentation or checklists
Basic Marketing & Asset Support


While you will not be responsible for full marketing execution, you may assist with simple assets when needed.
Responsibilities include:

• Light edits or asset preparation using Canva
• organizing marketing assets or presentation materials
• coordinating with designers or editors when needed
Tools You Will Work With


Examples include:

• GoHighLevel (CRM)
• Gmail
• Google Docs / Sheets
• ClickUp or other task management tools
• Slack
• Fathom (call recordings)
• Canva (light asset work)
• AI tools such as ChatGPT or Claude

Comfort with AI-assisted workflows is strongly preferred.
