Deal Flow & Outreach Operations Coordinator

Overview

I run an investment firm focused on acquiring and building businesses in education, healthcare services, and B2B services.

This role is critical to building a high-quality deal sourcing engine.

You will be responsible for:

processing inbound deal flow
maintaining a clean and accurate CRM
researching companies and contacts
preparing high-quality outreach materials

This is not a generic VA role.

You will be expected to think, prioritize, and produce structured, accurate work.

What You Will Do
Deal Flow & Screening
Review deals from brokers, marketplaces, and inbound emails
Filter based on clear investment criteria
Identify high-quality opportunities and flag them
Log all relevant deals into CRM
Research & Outreach Preparation
Identify and research target companies
Prepare structured summaries (“dossiers”)
Draft personalized outreach emails using templates
Maintain organized lists of targets and contacts
CRM & Pipeline Management
Enter and update deals, contacts, and notes
Maintain clean data and accurate pipeline stages
Ensure nothing falls through the cracks
Newsletter & Marketing Support
Assemble newsletter drafts from provided inputs
Format and schedule communications
Maintain and update contact lists
What This Role Is NOT
Not a creative marketing role
Not a social media/content role
Not a passive “task execution” role

This is an operations + research role with judgment

What We Are Looking For
Must-Have
Strong written English (clear, concise, professional)

Ability to follow structured processes
Ability to handle high volumes of information
Comfortable using tools like Google Docs, spreadsheets, CRM systems
Comfortable using AI tools (e.g., ChatGPT) to improve output
