Scheduling & Coordination Assistant

We are seeking a highly professional individual to take full ownership of scheduling and communication for our medical-legal company. This is a critical role that demands confidence, assertiveness, and a strong sense of responsibility to ensure operations run seamlessly. Only candidates who meet all requirements will be considered.

Location: 100% Virtual
Hours: Monday–Friday • 8:00 AM – 5:00 PM Pacific Time
Daily Zoom check-in with team required

Key Responsibilities
• Call and confirm appointments with applicants, clinics, and physicians.
• Send appointment notices and follow-up emails to attorneys and clients.
• Manage and respond to emails promptly and professionally.
• Maintain accurate schedules and calendars.
• Handle reschedules, cancellations, and no-show follow-ups with authority and professionalism.

Candidate Profile
• Confident, engaging, and assertive communicator.
• Strong spoken and written English with a clear AMERICAN ACCENT (strict requirement).
• Proven responsibility in prior administrative, scheduling, or medical coordination roles.
• Excellent time management and attention to detail.
• Ability to manage multiple emails and calls efficiently under pressure.
