About the Role
We are recruiting on behalf of a growing UK-based accountancy firm, an 8-figure firm, seeking a detail-oriented and highly accurate Bookkeeper (QuickBooks Specialist) to support their client portfolio.
This is a key role responsible for maintaining clean, compliant, and up-to-date financial records across multiple clients. You will work closely with the Director to ensure bookkeeping is completed to a high standard, deadlines are met, and all records are fully prepared for accountant review.
Note: This is not basic data entry — this role requires ownership of bookkeeping, accuracy, and workflow.
Working Hours
10:00am – 3:00pm UK Time (Tuesday & Thursday)
5:00pm – 10:00pm Philippines Time
Key Responsibilities
Bookkeeping & QuickBooks Management
Maintain accurate, up-to-date records in QuickBooks Online
Post and allocate bank transactions
Manage purchase invoices and expenses
Post sales invoices and allocate receipts
Maintain clean and accurate ledgers (debtors, creditors, nominal)
Perform bank, credit card, and balance sheet reconciliations
Prepare VAT returns and support submissions
Process journal entries (within competence)
Ensure all records are fully supported and audit-ready
Deadlines & Workflow Management
Manage VAT, month-end, and reporting deadlines
Start work early and avoid last-minute deadlines
Request missing information proactively
Keep all work progressing without backlog
Client Communication
Respond to client queries within 1 working day
Communicate clearly and professionally
Keep communication simple and commercially aware
Escalate anything outside your level of expertise
Data Accuracy & Cleanliness
Maintain clean ledgers with no duplication or miscoding
Ensure all accounts are fully reconciled
Clear suspense accounts promptly
Monitor aged debtors and creditors
Regularly review bank feeds and financial data
Escalation & Awareness
Identify and flag unusual transactions
Highlight compliance risks or inconsistencies
Raise cash flow concerns where relevant
Escalate anything unclear or outside your scope
Reporting
Provide weekly updates on:
Work completed
Work in progress
Missing information
Risks or issues
Essential Skills & Experience
Strong experience using QuickBooks Online (non-negotiable)
Proven experience in bookkeeping or accountancy support
Strong understanding of reconciliations, VAT, and ledgers
High level of accuracy and attention to detail
Strong English communication skills
Able to manage workload independently
Organised and process-driven
