About the role
We are a UK-based multi-channel eCommerce business selling across Amazon UK, Amazon EU, eBay UK, OnBuy, B&Q, The Range, Allegro (Poland), Shopify, and Temu. The business is owner-operated and growing fast.
We need a sharp, experienced, self-motivated Marketplace Specialist to take full ownership of our day-to-day operations — inventory, listings, customer communications, compliance, and supplier coordination. This is not a general admin VA role. We need someone who genuinely understands how online marketplaces work and can run things without constant hand-holding.
This is a long-term role with real opportunity to grow as the business grows.

What you'll do
Customer communications — Monitor and respond to all customer messages across every platform using structured templates. Target: same-day response, zero unanswered messages at end of each working day.
Inventory management — Consolidate inventory data from all 9 platforms into a master Google Sheet. Cross-reference to identify missing or inactive listings. Prepare weekly exception reports.
Contractor supervision — Oversee and quality-check output from external Fiverr workers handling listing creation. Review before anything goes live. Return errors for correction.
Stock & purchase orders — Monitor stock levels in Linnworks. Identify low-stock SKUs proactively. Prepare draft purchase orders and follow up with suppliers on ETAs.
Returns management — Guide customers through returns. Maintain a shared Google Sheet of all return/refund cases for business owner to process.
Listing audits & compliance — Regular audits across all platforms. Fix missing images, closed listings, suppressed ASINs, compliance errors, and attribute gaps. Keep on top of policy changes per marketplace.
Competitor & pricing monitoring — Flag undercutting on key SKUs. Prepare repricing recommendations for business owner review.
Weekly reporting — Every Friday: tasks completed, open issues, stock alerts, listing errors resolved, contractor performance notes.
Business intelligence — Research new product opportunities and suppliers. Present findings in a structured format.
