JOB OVERVIEW

We are one of Colorado's well-established real estate media companies, providing photography, video, and content production for real estate professionals and businesses across the state. We've built a strong reputation over the years and we're growing. We're not looking for someone to fill a seat.

We're looking for someone who wants to grow with us, take on real responsibility, and become a key part of how this company runs for years to come.

**The Role**
You'll be the operational backbone of our client experience. You are the person who keeps schedules tight, clients informed, and the team moving without friction. This isn't a task-ticker role. We want someone who thinks ahead, communicates with genuine warmth, and takes ownership of what they manage.

Your day-to-day will include:

• Managing client scheduling and shoot coordination
• Handling client care calls, follow-ups, confirmations, and resolving concerns professionally
• Processing and entering online orders accurately
• Communicating revisions between clients and the internal production team
• Maintaining CRM records and keeping task systems up to date
• Keeping inboxes organized and deadlines on track so nothing slips
• Identifying inefficiencies and helping improve the systems around them

You are the person who prevents small issues from becoming big problems.

**Tools You'll Use**
• Aryeo (preferred, scheduling and delivery platform)
---------- (required, how we track every job and task)
• RingCentral (preferred, all client phone communication runs through this)
• Slack, internal team communication
• Dropbox, file management and delivery
• CRM systems, client records and follow-up tracking
• Zapier and basic automation tools, workflow automation experience is a plus

**What We're Looking For**
This role is equal parts operational precision and genuine people skills. The right person is warm on the phone, sharp with details, and steady when things get busy.

You'll thrive here if you:
• Speak and write English fluently and naturally, clients will hear you, not just read you
• Have a warm, professional phone presence that builds real client relationships
• Are organized, consistent, and follow through without being reminded
• Stay calm and solution-focused when priorities shift
• Take pride in systems running smoothly and improve them when they don't
• Can be warm with clients and firm when needed
• Don't need constant direction to get things done

Familiarity with real estate photography or media production workflows is a meaningful bonus, but your communication skills, reliability, and work ethic matter most.

**This Role Is NOT For You If:**
• You prefer behind-the-scenes work with little to no client contact
• You avoid phone calls or are uncomfortable with spoken client communication
• You struggle with follow-through or lose track of details under pressure
• You need frequent reminders or close supervision to stay on track
• You've jumped between many short-term roles without a clear reason

**What Success Looks Like**
• Clients feel informed, cared for, and confident in our company
• The team shows up to shoots prepared and on time
• Schedules run without last-minute surprises
• The inbox stays organized and nothing gets missed
• Problems get solved before they escalate

**Compensation and Benefits**
Starting at $7.00/hour | Full-Time | Long-Term Position
Monday through Friday | 8:00 AM to 6:00 PM Mountain Time (USA)

We believe in paying people what they're worth. Compensation is based on experience and what you bring to the role and it grows as you do.

Pay and Schedule
• Paid every two weeks on a consistent schedule
• $20/month internet and equipment stipend to support your home office setup
• Compensation reviewed at 90 days, strong performance is recognized quickly
• Annual pay review, loyalty and consistency are rewarded here

Time Off and Holidays
• 12 paid holidays per year, your choice which ones to take (we trust you to pick what matters most to your family and culture)
• Additional paid time off added for each year you stay with the company, the longer you're here, the more you earn
• 13th month pay honored annually (we understand and respect Filipino employment standards)

Growth and Stability
• This is not a short-term contract. We are building a team, not filling a seat. The right person will be with us for years

Culture and How We Work
• Structured onboarding, your first several weeks are carefully planned so you're set up to succeed, not thrown in the deep end
• Regular check-ins and direct feedback, you'll always know how you're doing and what's expected. No guessing games
• You'll work directly with the business owner, decisions get made quickly, communication is direct, and your contributions are visible and valued
• We are a small, established team, what you do here matters and is noticed

We don't hire and churn. We've built a solid reputation in Colorado over the years and we're looking for someone who wants to be part of where we're going, not just where we are.

**To Apply**
Send an email with your resume attached as a PDF and answer the following two questions in the body of your email.

1. List each tool from our requirements that you have used and briefly describe how you used it. Be specific. Also tell us how you typically go about learning a new tool or improving your skills with one you already use.

2. A client emails saying they are unhappy with how a recent interaction was handled. They are not asking for anything specific but they are clearly frustrated. Write the response you would send.

Somewhere in your email, tell us your favorite type of weather. Do not explain why, just mention it naturally. This tells us you read carefully.

**Video Submission**
Record a 1 to 3 minute unedited, single-take video and include the link in your email. Upload to Google Drive, Dropbox, or YouTube unlisted. Do not read from a script, just speak naturally. Your phone is fine.

In your video, cover the following:

1. Introduce yourself and tell us how long you have been doing administrative or client facing work.

2. Describe a time you handled a frustrated or difficult client. What did you say and how did it end?

3. How do you make sure nothing falls through the cracks during a busy week? Walk us through your actual system.

4. What do you know about real estate photography or media production, even generally?

5. Why are you the right person for this role?

6. Somewhere in your video, tell us your favorite meal. Do not explain why, just mention it naturally. This tells us you watched all the way through.

Applications without a PDF resume, email answers, and video link will not be reviewed.
