JOB OVERVIEW

Role Overview

We are looking for a high-level Executive Assistant who operates more like a problem solver and systems operator, not a task follower.

This role is critical to keeping our marketing and operations running smoothly. You will be responsible for managing sensitive access, coordinating across teams and agencies, organizing systems, and ensuring execution happens on time.

This is not a role for someone who needs step-by-step instructions.

You must be:

Extremely detail-oriented
Highly organized
A self-thinker who solves problems independently
Comfortable operating in a fast-paced, sometimes chaotic environment
Able to take ownership without being managed closely

Core Responsibilities

1. Account Access & Security Management

Manage logins, passwords, and access across all marketing platforms
Handle 2FA (two-factor authentication) codes for tea ---------- mbers and agencies
Ensure secure and organized access across all tools and accounts
Quickly respond to any access issues or lockouts

2. Team & Agency Coordination

Act as the central point of contact for agencies and internal tea ---------- mbers
Provide login credentials, authentication codes, and access as needed
Ensure communication between teams is smooth and efficient
Follow up proactively to prevent delays

3. Employee Onboarding

Set up all necessary software and accounts for new hires
Ensure every new tea ---------- mber is fully equipped from day one
Create and maintain onboarding checklists and systems
Continuously improve onboarding processes

4. Travel & Logistics Management

Book flights, hotels, and transportation for tea ---------- mbers
Ensure travel plans are efficient, cost-effective, and well-organized
Handle last-minute changes and issues without disruption

5. Systems & Organization

Implement and maintain organizational tools (Asana, Google Drive, etc.)
Build and improve internal systems for efficiency
Keep everything structured, labeled, and easy to access

6. Task Tracking & Accountability

Monitor ongoing tasks across tea ---------- mbers and agencies
Follow up to ensure deadlines are met
Identify bottlenecks and solve them proactively
Hold a high standard for execution and completion

Tasks are completed on time across the organization
Systems are clean, organized, and constantly improving
