Virtual Assistant (Digital Marketing Agency) – Growth-Focused, Proactive Operator

About Us
We are a fast-growing, data-driven digital marketing agency working with clients across industries including legal, hospitality, real estate, SaaS, and local service businesses.

Our work spans SEO, paid media, analytics, content strategy, and local marketing, with a strong focus on measurable results and continuous improvement.

We are looking for a highly organized, proactive Virtual Assistant who wants to grow into a digital marketing specialist and agency operator over time.

This is not a “task-only” role.

Core Responsibilities
1. Administrative & Agency Support
Manage task lists (ClickUp, Trello, or similar)
Organize files, folders, and client documentation
Assist with onboarding new clients
Prepare meeting agendas and notes
Follow up on deadlines and deliverables

2. Client Communication
Draft and send client emails (professional, clear, concise)
Follow up on approvals, content, and deliverables
Maintain a high level of responsiveness and organization
Assist in building client reports and summaries

3. Reporting & Analytics
Google Analytics (GA4)
Google Search Console
Looker Studio dashboards
HubSpot is important

Tasks include:

Pulling weekly and monthly reports
Identifying basic trends (traffic, conversions, top pages)
Flagging anything unusual or important
Assisting in building simple dashboards

4. SEO & Content Support
Upload and format blog content (WordPress or similar)
Basic keyword research (we will train you)
Optimize pages (meta titles, descriptions, headers)
Internal linking between pages
Assist in content planning and publishing

5. Paid Ads Support (Google & Facebook)
Assist with campaign setup (we will guide you)
Monitor performance (clicks, leads, cost per result)
Help with ad copy variations and testing
Organize creative assets and campaign tracking

6. Social Media Management
Schedule posts (Meta Business Suite or similar)
Write captions and hashtags
Monitor comments and messages
Track engagement metrics
Assist with content ideas and planning

7. Google Business Profile (Local SEO)
Update business listings
Post weekly updates/offers
Upload photos
Monitor insights
Ensure NAP (Name, Address, Phone) consistency

8. Review Management
Respond to customer reviews (positive and negative)
Maintain brand voice and professionalism
Flag sensitive issues to the team
Help improve client reputation scores

9. Digital PR & Outreach
Research websites for backlinks and partnerships
Send outreach emails (templates provided)
Track responses and placements
Assist in building authority for client websites

10. Email Marketing & Outreach
Assist with newsletters (Mailchimp, HubSpot, etc.)
Format and schedule campaigns
Help write subject lines and content
Track open rates and engagement

11. Sales & Lead Generation Support
Assist with outbound email campaigns
Help build prospect lists
Support Facebook/Instagram lead campaigns
Track leads and responses
Help optimize messaging over time

Familiarity with Google Ads or Facebook Ads

Experience with reporting tools

Prior agency experience
