Role Overview
We are looking for a detail-oriented and proactive Virtual Assistant to handle vendor outreach and quote sourcing for our bidding operations. Your primary job is simple: contact vendors by email, online quote forms, and phone to get pricing on parts we need for government bids.

You will be given a list of parts that need quotes. For each part, you will reach out to the manufacturer or authorized distributor, request a quote, and report the pricing back to the company. You are expected to return a minimum of 50 quotes per day. Speed, persistence, and accuracy are essential.

Full training will be provided on our internal systems and processes.

Key Responsibilities
• Receive daily lists of parts that need vendor pricing
• Research and identify the correct manufacturer or authorized distributor for each part
• Contact vendors via email to request formal quotes, including part numbers, quantities, and delivery requirements
• Submit quote requests through vendor websites and online quote/inquiry forms
• Call vendors by phone to request quotes, follow up on pending requests, and confirm pricing details
• Record all received quotes accurately in our internal system, including unit price, lead time, and any special notes
• Follow up with vendors who have not responded to ensure quotes are received before bid deadlines
• Send quote summaries to the company owner for review and bid decisions
• Maintain organized records of vendor contacts and communications
• Meet a daily minimum of 50 quotes returned to the company

How You Will Contact Vendors
Email — Send structured quote requests to vendor sales teams with all required part and delivery details
• Online Quote Forms — Submit requests through manufacturer and distributor websites when direct email contacts are not available
• Phone Calls — Call vendor sales lines to request quotes, follow up on outstanding requests, and verify pricing. Professional and confident phone communication is required.

Required Skills & Qualifications
• Experience in sourcing, procurement, purchasing, or vendor outreach
• Excellent written and spoken English — you will communicate with U.S.-based vendors daily
• Comfortable making outbound phone calls to vendors and suppliers
• Strong attention to detail when working with part numbers, pricing, and specifications
• Proficient with web-based platforms, spreadsheets, and email (Gmail or Outlook)
• Reliable internet connection and a quiet workspace for phone calls
• Self-motivated and able to work independently with minimal supervision
• Able to consistently meet daily output targets
• Available to work during US Eastern business hours, Monday through Friday

Preferred (Nice to Have)
• Experience sourcing industrial, automotive, or heavy equipment parts
• Familiarity with military or industrial parts procurement
• Experience using CRM or order management platforms
