We are seeking a proactive and detail-oriented Virtual Assistant to support our executive team with project management, procurement, production coordination, and logistics operations. This role is critical to ensuring smooth operations across departments, maintaining supplier relationships, optimizing processes, and delivering on-time results. The ideal candidate is organized, solutions-focused, and comfortable working in a fast-paced, collaborative environment.
Key Responsibilities:
Project Management & Operations
Assist executives in overseeing company-wide project initiatives.
Manage task tracking, team coordination, and progress reporting.
Develop, update, and maintain Standard Operating Procedures (SOPs) to ensure operational consistency and efficiency.
Identify areas for operational improvement and assist in streamlining workflows.
Procurement & Production
Conduct vendor and supplier research to identify cost-effective and reliable partners.
Manage product development timelines and coordinate related tasks.
Place orders and manage purchase orders (POs) with suppliers and co-packers.
Monitor and forecast production schedules to meet demand.
Support cost reduction initiatives and inventory optimization efforts.
Inventory Management
Track and manage inventory levels across warehouses or fulfillment centers.
Matching sold inventory to existing inventory
Ensure inventory accuracy through regular audits and reporting.
Logistics Coordination
Coordinate inbound and outbound shipments, ensuring timely delivery.
Track shipments and resolve delivery issues with logistics providers.
Maintain strong communication with carriers, co-packers, and internal teams.
Qualifications:
Proven experience in operations support, project coordination, or supply chain roles.
Strong organizational and communication skills.
Proficiency with project management tools and spreadsheets.
Experience with procurement and inventory software is a plus.
Ability to work independently in a remote environment and manage multiple priorities.
