The Role
The Property Coordination Assistant is the operational backbone of Dashdot's Delivery team — keeping transactions moving, timelines on track, and nothing falling through the cracks. You'll work closely with our broader Delivery Team to support the end-to-end property investment journey for our clients.
This is not a passive task-follower role. We're looking for someone who anticipates what needs to happen next, owns open loops without being told, and brings the energy of an EA with the precision of a project coordinator.
In this role, you'll own:
Coordinating multi-step property transaction timelines across multiple clients simultaneously
Liaising with external parties including real estate agents, inspectors, solicitors, and clients via email, Slack, and phone
Reviewing and cross-checking documents for accuracy, flagging discrepancies early
Proactively following up on outstanding items to keep transactions and onboarding timelines on track
Supporting Specialists and Strategists with administrative coordination so they can focus on delivering client outcomes
Maintaining accurate records and data across internal platforms

What Success Looks Like
Response times are consistently within KPI — nothing sits unanswered or unactioned
Zero errors in document checking, data matching, and follow-up coordination
Open loops are closed proactively — you follow up before being asked
Strategists and Specialists can rely on you to manage the admin without hand-holding
You're comfortable picking up the phone when it's the fastest way to move something forward

What We're Looking For
You'll need:
Sharp attention to detail — you catch what others miss and take pride in accuracy
Strong multitasking and coordination skills — you can manage multiple timelines and priorities without dropping the ball
Excellent written and verbal English — you communicate clearly and confidently with Australian clients, agents, and partners
Comfortable picking up the phone — when email isn't cutting it, you make the call
A proactive, anticipatory mindset — you don't wait to be told; you see what's coming and move first
Confident using a range of software tools such as Airtable, Corelogic, Google Workspace, Slack, HelloSign
Resilience and adaptability — you stay calm and keep executing when priorities shift
Reliable computer, strong internet, and quiet home workspace
Bonus points if you have:
Experience in property, real estate, mortgage broking, or a related field
Background in event coordination, travel planning, or complex project administration
Prior experience supporting multiple teams or stakeholders simultaneously

You prefer to work independently with no structured hours — core availability (aligned to Australian Specialist hours) is required
