This isn't a role for someone who manages a calendar and waits for instructions. This is a role for someone who sees what needs to happen before they're asked, and makes it happen before anyone notices it was a problem.

We're growing fast. The Founder is deep in client delivery, sales, expansion, and content simultaneously. To keep scaling without losing quality, we need one person who owns the operational and administrative infrastructure around him.

Growth Dinners operates and runs curated executive dinner experiences for B2B companies across multiple U.S. cities. Our clients are sponsors and hosts who use our dinners to access hard-to-reach buyers, build relationships with C-suite prospects, and accelerate pipeline in a room where business actually gets done.

We're a lean, founder-led operation with high standards, fast decisions, and a bias toward action. Every hire matters here.
What You'll Own

***Event & Dinner Operations***

Coordinate logistics for B2B executive dinners end-to-end — venues, RSVPs, run-of-show, day-of execution, and post-event follow-up
Build and maintain event timelines, checklists, and SOPs that reduce friction and prevent anything from falling through the cracks
Manage contractor communication and vendor coordination before and after each event
Track event deliverables and ensure all client commitments are met on schedule

*** Founder Calendar & Inbox***

Own the Founder's calendar — proactively protect high-output time, schedule with intent, and eliminate scheduling back-and-forth
Triage and manage inbox communications — draft responses, flag priorities, and handle routine correspondence independently
Prepare the Founder for every meeting with relevant context, agenda, and background
Follow up on open loops so nothing stalls due to a missed reply
Client Communications & Follow-Up
Draft and manage client-facing communications with professionalism and attention to brand voice
Track client deliverables, deadlines, and milestones across active engagements
Coordinate onboarding touchpoints for new dinner sponsors and ensure a smooth client experience from contract to event day
Send post-event summaries, attribution documentation, and follow-up sequences on behalf of the Founder

*** CRM & Pipeline Management***

Keep the CRM clean, updated, and actionable — log activity, update deal stages, and flag stale contacts
Manage outreach sequences and ensure follow-ups are sent on schedule
Build and maintain contact lists for prospective dinner guests and event sponsors
Surface weekly pipeline reports and flag anything that needs the Founder's attention

** Who You Are**

You're the kind of person who finishes something before being asked twice. You think in systems. You write with clarity. And you take ownership like it's your business — because in many ways, it will be.
You have 3–4 years of experience in an Executive Assistant, Operations Coordinator, or similar role — ideally in a fast-moving startup, agency, or events environment
You're a strong writer who can draft emails, client communications, and follow-ups that sound like a human wrote them.
Your AI is fluent and up to speed on how to use the latest AI tools like ChatGPT, Claude, Gemini, etc. to maximize efficiency and productivity.
You understand basic automation tools like Zapier and Make.com or are excited to jump in and to learn them on your first day.
You have a working knowledge of CRM tools & SOPs databases (HubSpot, Notion, Airtable, or similar) and don't need to be trained from zero.
You're proactive — you don't wait to be told the same thing twice
You communicate ahead of problems, not after
You've read Buy Back Your Time by Dan Martell or you're ready to — because that's the operating system we run on
You thrive in a remote environment and take ownership of your own structure and accountability

***What Success Looks Like in 30 Days***

The Founder's inbox and calendar are under control — no missed follow-ups, no double-bookings, no surprise deadlines
Every active dinner event has a documented run-of-show and client communication log
The CRM is clean, current, and being used to drive follow-up — not just store data
You've proactively identified and solved at least two recurring operational problems without being asked

This role is remote, part-time 10 hours per week with ability to grow into full-time role.
We work together on a paid project, then move to part-time, and finally full-time after you've demonstrated you're a fit.
