Position Overview
We are seeking a highly organized and tech-savvy Part-Time Administrative Assistant to support the daily operations of our growing company. The ideal candidate will assist with administrative tasks, document organization, real estate transaction coordination, and digital content support.
This role requires strong organizational skills, the ability to multitask, and familiarity with modern digital tools including AI tools, video editing software, and e-commerce platforms.
Key Responsibilities:
Administrative Tasks
?Manage and monitor company
?Organize and file documents in Google Drive, Dropbox, or other document management systems.
?Maintain and update internal trackers and spreadsheets.
?Assist with scheduling meetings and maintaining calendars.
?Prepare reports, summaries, and documentation when needed.
?Perform general administrative and operational support tasks.
Real Estate Transaction Support
?Assist in organizing documents related to property acquisitions, sales, and refinancing.
?Maintain transaction files and ensure all required documents are properly stored.
?Help coordinate with lenders, title companies, insurance agents, and contractors.
?Track key dates such as contract deadlines, closings, inspections, and project milestones.
AI Tools & Technology Support
?Utilize AI tools (such as ChatGPT and similar platforms) to assist with research, drafting
?Assist in identifying ways to streamline operations through AI and automation tools.
?Support the team by generating drafts, summaries, or reports using AI when needed.
Video Editing Support
?Assist with basic video editing for marketing, social media, or promotional content.
?Edit short-form videos for platforms such as Instagram, TikTok, YouTube, or company marketing materials.
?Organize and manage digital media files.
E-commerce Support
?Assist with basic e-commerce operations, such as updating product listings, product descriptions, or store information and setting up platforms.
?Help manage product uploads, images, and inventory updates on e-commerce platforms.
?Support marketing or promotional campaigns related to online sales when needed.
Qualifications
?Previous administrative experience preferred.
?Strong organizational and time management skills.
?Proficiency in Google Workspace (Docs, Sheets, Drive) or Microsoft Office.
?Familiarity with AI tools and automation platforms.
?Basic video editing skills using tools such as CapCut, Adobe Premiere, Final Cut, or similar software.
?Basic knowledge of e-commerce platforms such as Shopify, Amazon, WooCommerce, or similar systems.
?Excellent written and verbal communication skills.
?Ability to work independently and manage multiple tasks.
Preferred Skills
?Experience supporting real estate operations or project coordination.
?Familiarity with tools such as:
?Google Drive / Dropbox
?AI tools (ChatGPT, Notion AI, etc.)
?Video editing tools (CapCut, Premiere, Final Cut, etc.)
