Wise Getaways – Short-Term Rental Property Management

Wise Getaways is a professional vacation rental management company that manages high-quality properties in Perdido Key, Florida and Nashville, Tennessee. Our focus is simple: provide an exceptional experience for both homeowners and guests while operating with strong systems and attention to detail.

We are looking for a highly organized, detail-oriented Operations & Guest Experience Coordinator to support daily operations across our properties. This role combines guest communication, operational coordination, and administrative responsibilities.

This is not a passive or “wait for instructions” role. The right candidate is proactive, accountable, and comfortable managing multiple responsibilities in a fast-moving environment.

Role Overview

The Operations & Guest Experience Coordinator supports both the guest experience and day-to-day property operations.

You will work closely with the Operations Manager and leadership team to ensure properties run smoothly and guests receive timely support.

This role requires strong organization, independent thinking, and clear communication.

Core Responsibilities
Guest Communication
- Respond to guest messages across Airbnb, VRBO, and direct bookings
- Assist guests before, during, and after their stay
- Provide clear instructions for check-in, property access, and house rules
- Handle guest issues calmly and professionally
- Escalate maintenance or operational issues when necessary

Operations Coordination:
- Coordinate cleaning schedules with vendors
- Track property readiness between guest stays
- Log and coordinate maintenance requests
- Communicate with cleaners and maintenance vendors
- Ensure properties are guest-ready prior to check-ins

Administrative & Systems Support:
- Maintain organized records in property management software
- Update internal systems with maintenance notes, guest issues, and vendor updates
- Assist with calendar management and reservation monitoring
- Maintain operational documentation and SOPs
- Support the team with recurring administrative tasks

Inventory & Supplies:
- Track and reorder property supplies
- Coordinate delivery or restocking with vendors
- Ensure properties maintain standard inventory levels

Skills & Qualifications

The ideal candidate demonstrates the following:

- Ability to manage multiple tasks at once
- Comfortable working with systems and checklists
- Ability to remain calm under pressure
- Proactive problem-solving mindset

Required Experience

Experience in one or more of the following is preferred:
- Short-term rental management
- Property management
- Customer service or hospitality
- Operations coordination
- Administrative management

Experience with tools such as the following is a plus:
- Airbnb / VRBO platforms
- Property management systems (Hostaway, Guesty, etc.)
- Slack or team communication tools
- Google Workspace
- Task management tools (Asana, ClickUp, etc.)

Work Structure:
- Remote position
- Stable internet connection required
- Consistent availability during assigned shift
- Must respond quickly to team communication

This role requires someone who can stay organized, follow processes, and take ownership of tasks without constant supervision.

What Success Looks Like:
- Guests receive quick and professional communication
- Operational tasks are completed without reminders
- Cleanings and maintenance are properly coordinated
- Issues are identified and addressed early
- The team can rely on you to keep things moving forward
