Role Overview
The Quality Assurance Specialist is responsible for monitoring, auditing, and improving the accuracy, consistency, and reliability of Levion’s centralized scheduling operations. This role sits between day-to-day scheduling execution and leadership, ensuring that schedules, communications, and reporting reflect reality on the ground and adhere to Levion standards.
The QA Specialist does not create schedules. They verify them, stress-test them, and surface issues before they become operational or client-facing problems.
Key Responsibilities
Schedule Accuracy & Coverage Audits
Review daily and historical schedules across facilities to confirm coverage accuracy by shift, unit, and role
Identify gaps, duplications, incorrect role assignments, and unsafe staffing patterns
Validate that agency, overtime, and in-house staff usage aligns with approved parameters
Process & Compliance Monitoring
Audit scheduler workflows to ensure standard operating procedures are being followed
Confirm proper documentation of cancellations, replacements, escalations, and coverage changes
Flag recurring deviations from process and recommend corrective actions
Data & Reporting Validation
Cross-check scheduling data against source systems such as timekeeping, agency portals, and census reports
Validate accuracy of internal reports including coverage summaries, call-out logs, agency usage, and budget comparisons
Identify data integrity issues before reports are delivered to clients or leadership
Issue Tracking & Root Cause Analysis
Log errors and inconsistencies with clear categorization and severity levels
Identify patterns such as repeat scheduling errors, communication breakdowns, or system misuse
Escalate high-risk issues promptly and track resolution through completion
Feedback & Training Support
Provide structured feedback to schedulers and supervisors based on audit findings
Support onboarding and ongoing training by identifying common mistakes and knowledge gaps
Assist leadership in refining SOPs based on real-world findings
Continuous Improvement
Help define quality benchmarks for scheduling accuracy, documentation, and responsiveness
Participate in testing new workflows, tools, or reporting changes before full rollout
Contribute to the development of QA scorecards and performance metrics
Required Skills & Experience
Experience in healthcare staffing, scheduling, workforce operations, or related QA roles
Strong attention to detail with the ability to detect subtle inconsistencies across systems
Comfort working with spreadsheets and operational reports
Ability to communicate issues clearly without creating friction or blame
Strong judgment in prioritizing issues based on risk and impact
Preferred Qualifications
Familiarity with long-term care or hospital staffing models
Experience auditing operational workflows or data-heavy processes
Exposure to scheduling platforms, timekeeping systems, or staffing agencies
