Zoho CRM & Marketing Automation Assistant (Supporting Zoho Specialist)

JOB DESCRIPTION

We are looking for a highly organised and detail-oriented Zoho CRM & Marketing Automation Assistant to support our existing Zoho Specialist.

You will be working directly under our Automation Manager, who is also based in the Philippines, assisting in building and managing our CRM systems, workflows, and marketing automations.

This is an execution-focused role. You will not be responsible for strategy, but you will play a key part in building and maintaining our systems accurately and efficiently.

ABOUT US

We are a UK-based company operating within the aesthetics and medical device industry.

We work with clinics across the UK, helping them grow through advanced technology, structured systems, and long-term business support.

We are currently scaling and building out our internal CRM and automation infrastructure.

YOUR ROLE

You will support our Zoho Specialist with:

Building and setting up email campaigns in Zoho

Uploading and formatting email sequences

Creating and organising contact lists

Setting up workflows and basic automations

Tagging and segmenting leads correctly

Testing automation flows before going live

Supporting CRM organisation and data accuracy

Assisting with funnel and campaign setup

IMPORTANT

You will be working under a structured system.

All workflows, logic, and automation strategies will be designed by our Zoho Specialist.
Your role is to execute tasks accurately and efficiently.

WHAT WE ARE LOOKING FOR

Strong attention to detail

Ability to follow clear processes and instructions

Organised and reliable

Good written English

Comfortable working with systems and data

Experience with CRM platforms (Zoho preferred but not essential)

Able to work independently once trained

BONUS (NOT ESSENTIAL)

Experience with Zoho CRM, Zoho Campaigns or Zoho Flow

Experience building email automations or workflows

Understanding of sales funnels or lead nurturing

Previous experience supporting a marketing or automation team

WORKING STRUCTURE

You will work directly with our Zoho Specialist (Philippines-based), who works Monday to Friday, 9am–5pm

You will also support our Marketing Manager, who is based in the UK

Tasks will be assigned daily or weekly with clear systems and processes in place

WORKING HOURS

Your working hours can be flexible and may extend beyond our Zoho Specialist’s schedule

However, you must be available to provide overlap and support during UK business hours when required

This ensures smooth communication with the Marketing Manager and wider team

EXPECTATION

You will act as additional support to ensure work continues efficiently across different time zones

There should always be coverage between Philippines and UK hours to keep projects moving
