We are looking for a highly organized and proactive Personal Operations Manager to help run and optimize our personal and family logistics.
This is a full-time role shared between two busy executives. You will act as the central coordinator of our day-to-day operations, helping reduce complexity across household management, travel, property management, and administrative tasks.
This is NOT a basic VA role. You will be expected to take ownership, coordinate multiple stakeholders, and help build simple systems to make everything run smoothly.
The goal is simple: make our lives run efficiently without requiring constant involvement.

Key Responsibilities
1. Calendar & Scheduling
• Manage calendars and appointments
• Coordinate family and personal schedules
• Book and reschedule meetings and services
2. Travel Planning
• Research and propose travel options
• Book flights, accommodation, and transport
• Prepare simple itineraries
3. Household & Family Coordination
• Organize weekly needs (groceries, errands, services)
• Coordinate with local helpers (cleaners, babysitters, etc.)
• Ensure recurring tasks are executed smoothly
4. Property Management Support
• Help manage 3 properties in Europe
• Coordinate with tenants, cleaners, and service providers
• Track issues and ensure follow-up
5. Admin & Finance Coordination
• Track bills, payments, and subscriptions
• Coordinate with accountants
• Organize documents and deadlines
6. Systems & Process Building
• Create simple trackers (Google Sheets, Notion)
• Improve workflows over time
• Document recurring processes

• Excellent written English
• Strong organization and attention to detail
• Ability to manage multiple priorities
• Reliable and consistent

• Proactive mindset (you suggest solutions)
• Ability to coordinate people (not just execute tasks)
• Comfortable working independently
Nice to have:
• Experience with calendar/inbox management
• Travel booking
• Property or Airbnb coordination
• Basic financial/admin tracking
Tools:
Google Workspace, Notion, WhatsApp, Booking platforms
Very strong bonus: Italian language skills
