JOB OVERVIEW

About the Role

We are an Australian business looking for a highly capable and detail-oriented Virtual Assistant with strong Executive Assistant experience to support our day-to-day operations. This is a long-term role for someone who is organised, tech-savvy, and confident working across admin, CRM systems, and eCommerce platforms. You’ll be working closely with the founder and supporting both operational tasks and growth initiatives across the business.

Working Hours

16 hours per week. Flexible structure: either 2 full days or 4 x 4-hour blocks. You must have overlap with Australian business hours (AEST). Philippine Time (PHT) is 3 hours behind AEST.

Key Responsibilities

Executive & Administrative Support: Inbox and email management, calendar and diary coordination, scheduling meetings and appointments, managing enquiries and general admin tasks.
eCommerce & Data Management: Updating and managing product and inventory data, working with WooCommerce (or similar platforms), importing, cleaning, and organising data records, maintaining accurate systems and templates.
CRM & Marketing Support: Managing and maintaining Salesforce (essential), cleaning and migrating approximately 14,000 contacts into Salesforce, tagging, segmenting, and organising lead data, assisting with email marketing campaigns, supporting re-engagement and nurture sequences.

About You

You have proven Executive Assistant experience. You have hands-on Salesforce experience (this is essential). You are highly organised and detail-oriented. You are confident working independently and taking initiative. You have strong Excel / Google Sheets skills. You have experience with WooCommerce or eCommerce systems. You have worked with email marketing tools or campaigns. You communicate clearly and professionally.

Nice to Have

Experience with lead databases or data migration projects. Experience with marketing automation tools. Understanding of customer journeys or email funnels.
